Position: Administrative Manager Employer: Community Foundation of North Central Massachusetts Location: North Central Massachusetts (hybrid/flexible schedule)

Status: Full-time, Exempt Salary Range: \$65,000-\$75,000 (commensurate with experience) Anticipated Start Date: September 14, 2026 Position Summary:

Provide high-level operational support to the President & CEO and advance Foundation priorities across executive support, finance, philanthropy, grants administration, and staff coordination. Requires discretion, strong judgment, follow-through, and collaboration. Works closely with the President, Director of Philanthropy, and Director of Grants and Impact.

Primary Responsibilities:

Operations coordination & support: manage President?s calendar; maintain CRM; track organizational priorities; coordinate annual scholarship program; support philanthropy/grantmaking operations; coordinate all-staff meetings, retreats, and internal projects; serve as staff resource on systems, policies, and workflows.
Finance coordination: liaise between internal finance staff and outsourced accounting partners; track financial operations calendar; provide backup support for select finance functions; prepare Finance Committee materials and follow-up.
Human resources administration: coordinate HR administration; maintain confidential personnel records with President; coordinate recruitment, onboarding, and offboarding; monitor HR compliance.
Board of Trustees support: prepare agendas; coordinate meeting logistics and materials; attend meetings and prepare minutes; manage trustee communications and follow-up; maintain trustee records and orientation materials; support Governance Committee.

Qualifications:

Required:
4+ years relevant experience in operations, administration, HR, or related function
Strong organizational, communication, and project coordination skills
Discretion and sound judgment handling confidential information
Proficiency with digital tools, including CRM platforms; adaptable to new systems and AI-assisted tools
Collaborative style, ability to build trust across a small team; curiosity

Preferred:
Familiarity with community foundation operations
Experience in a CEO?s office or senior leadership support
Experience coordinating HR, finance/bookkeeping functions, and supporting a board of directors
