The Administrative Assistant for the Content and Curriculum Team provides comprehensive administrative and operational support to the Director, coordinators, and program staff. This position performs a wide variety of administrative functions to ensure efficient and effective operations across multiple statewide initiatives and programs. The role requires the ability to manage multiple priorities, coordinate complex schedules and logistics, and support internal and external stakeholders with professionalism and accuracy. The Administrative Assistant serves as a key point of contact for the director and team and helps ensure that communication, documentation, and processes are timely, organized, and aligned with Department expectations. The ideal candidate is highly organized, detail-oriented, and resourceful, with the ability to work independently while supporting a collaborative team environment.
RESPONSIBILITIES:
· Provide administrative support to the Director, including coordination of schedules, maintenance of calendars, meetings, and communications.
· Schedule and coordinate meetings, workshops, conferences, and events, including logistics, materials, participant communication, and data entry.
· Coordinate travel arrangements and process related reimbursements, invoices, and documentation for the Director and others, as directed.
· Prepare, edit, format, and maintain a variety of documents, including reports, presentations, training materials, contracts, and correspondence, and their respective ADA accessibility.
· Serve as the primary point of contact between the Content and Curriculum team, Procurement, vendors, and partner organizations for all contract and procurement activities.
· Support contract and procurement processes, including document preparation, tracking, filing, and coordination with internal staff.
· Prepare contract documents in accordance with state procurement requirements and in collaboration with coordinators and other staff.
· Maintain organized recordkeeping systems, including electronic and physical files related to programs, contracts, and communications.
· Develop and maintain spreadsheets, reports, and data tracking systems to support program operations and decision-making.
· Serve as a point of contact for internal and external stakeholders, responding to inquiries and providing information related to department and team programs and processes.
· Support communication efforts, including drafting correspondence, maintaining website content, and assisting with public-facing materials.
· Develop and maintain processes for ordering, tracking storing, and inventorying educational materials and resources for the team.
· Provide general office support, including supply management and periodic front desk coverage.
· Perform all work in accordance with Department policies and procedures and perform other related duties as assigned.
MINIMUM QUALIFICATIONS:
· High school diploma or GED equivalent
· Good knowledge of office support functions, including word processing, filing, scheduling, and document preparation
· Experience composing and proofreading business documents and correspondence
· Experience gathering, compiling, and maintaining data and records
· Experience using Microsoft Office Suite, including Word, Excel, and PowerPoint
· Strong organizational skills and ability to manage multiple priorities and deadlines
· Strong customer service and communication skills
· Ability to interpret and apply policies, procedures, and instructions
· Ability to work independently and collaboratively in a team environment
DESIRED QUALIFICATIONS (Extra Consideration Will Be Given)
· Associate's degree or equivalent education or training
· Experience working in a state agency or education environment
· Experience with contracts, procurement, or financial resources
· Experience working with databases or online systems
PHYSICAL REQUIREMENTS: (with or without reasonable accommodation)
This position requires the ability to perform the following physical and job-related tasks:
· Operate standard office equipment such as a computer, telephone, copier, and scanner.
· Perform general administrative duties including typing, filing, answering phones, processing paperwork, and assembling office materials.
· Read, review, and process both printed and digital documents.
· Maintain focus and attention to detail for extended periods.
· Approximately 70% of time is spent sitting at a desk or workstation, up to 4 hours at a time.
· Approximately 30% of time is spent standing, walking, bending, or kneeling.
· Lift items up to 30 lbs.
TRAVEL REQUIRED:
This position does not typically require travel but may occasionally be requested to support departmental activities.

Vesting in the Public Employee Retirement System of Idaho (PERSI): All employees of the Idaho Department of Education are non-classified. They are appointed by the elected official and serve at the pleasure of the elected official. As such, employees working at a non-classified agency are considered vested in the PERSI retirement system after five (5) consecutive months of service, versus five (5) years of service at a classified agency.
Tuition Fee Waiver: All Idaho Department of Education employees in permanent full-time positions may register for instructional courses during any academic period, at any participating state funded institutions of higher education, for a $20.00 nonrefundable registration fee per semester and $5.00 per credit hour charge.
