Job Title: Administrative Assistant / ReceptionistJob Description
This role combines administrative support and front desk reception responsibilities to ensure the office runs smoothly and professionally. The Administrative Assistant / Receptionist provides accurate typing and document preparation, supports staff with a wide range of clerical tasks, and serves as a key point of contact for visitors, callers, and deliveries. This position is ideal for someone who is organized, detail-oriented, and comfortable handling confidential information while supporting a busy, field-based team.
Responsibilities
Perform typing assignments with a high degree of accuracy using provided office equipment.
Prepare letters, proposals, and reports from handwritten or rough draft material into polished, final documents.
Set up and format professional letters, memos, and other business correspondence.
Provide backup support for specification typing and other specialized document preparation as needed.
Greet guests in a professional and courteous manner, maintaining proper office decorum at all times.
Answer incoming phone calls, typically a low volume of calls per day, and route messages or inquiries appropriately.
Serve as the primary office point of contact when other staff members are out in the field.
Accept and process deliveries, typically one to two deliveries per day, ensuring items are logged and distributed correctly.
Assist with printing, assembling, and packaging reports, including recurring weekly reports.
Handle confidential material and information in a professional and discreet manner.
Complete various assignments on a rush basis with confidence and composure, meeting tight deadlines when necessary.
Maintain project files and records for various assignments, ensuring documents are organized and easily accessible.
Operate most standard office machines and equipment to support daily operations.
Record mileage logs from company vehicles and assist with minor accounting tasks such as checks and basic recordkeeping.
Learn and assist with basic invoicing processes, if willing, under guidance and training.
Provide direct backup coverage for the receptionist, ensuring consistent front desk presence and support.
Keep up with new developments and best practices in secretarial and administrative work to maintain a high level of proficiency.
Perform other duties as assigned to support the team and overall office operations.
Essential Skills
High school diploma or equivalent.
1-2 years of experience in the secretarial or administrative field.
Strong typing skills with an emphasis on accuracy and attention to detail.
Proficiency in preparing letters, proposals, reports, and memos from handwritten or draft material.
Ability to maintain strict confidentiality and handle sensitive information professionally.
Organizational skills that are strong and reliable, with the ability to manage multiple tasks and files.
Capability to operate standard office machines and equipment.
Professional phone etiquette and ability to answer and route calls effectively.
Confidence in handling rush assignments and meeting deadlines.
Strong interpersonal skills to greet guests and interact with staff in a professional manner.
Additional Skills & Qualifications
Experience in reception, front desk, or administrative support roles.
Familiarity with printing, packaging, and assembling reports or documents.
Experience with basic accounting tasks such as recording mileage logs and handling checks.
Willingness to learn and perform basic invoicing under supervision.
Interest in staying current with new tools and practices in the administrative and secretarial field.
Ability to serve as a central point of contact in the office when others are working off-site.
Work Environment
This position is 100% on-site in an office setting. Typical hours are 7:00 a.m. to 3:30 p.m., with some flexibility as long as an 8-hour workday is maintained, such as an 8:00 a.m. to 4:00 p.m. schedule. The role involves working at the front desk, answering a low volume of phone calls, greeting visitors, and coordinating deliveries. You will regularly use standard office equipment for typing, printing, and document preparation, and you will support a team that frequently works in the field. Pay and Benefits
The pay range for this position is $20.00 - $22.00/hr.
