Job Title: Accounting Assistant
Job Description
The Accounting Assistant supports core accounting operations across accounts payable, accounts receivable, payroll assistance, and general ledger activities. This role provides broad exposure to all facets of accounting, working closely with multiple departments to ensure accurate financial records, timely processing of transactions, and reliable reporting. The position is ideal for someone who wants to grow within an organization and progressively take on greater responsibility in finance and accounting.
Responsibilities
Support month-end reconciliations by preparing, reviewing, and reconciling financial data to ensure accuracy and completeness of the general ledger.
Create purchase orders and send them to vendors, ensuring all required information is accurate and properly documented.
Reconcile vendor statements to internal records, identify discrepancies, and work with vendors and internal teams to resolve any issues.
Receive and process accounts payable invoices, verify accuracy, and ensure timely entry and approval in the accounting system.
Create and send accounts receivable invoices to customers, ensuring correct billing details and timely distribution.
Assist with payroll calculations and maintain HR-related records, helping to ensure employees are paid accurately and on time.
Process employee expense reports, verify supporting documentation, and ensure compliance with company policies.
Post accounting entries into Sage 100 or a similar ERP system, maintaining accurate and up-to-date financial records.
Assist in generating reports and financial statements for various departments, providing clear and accurate financial information to internal stakeholders.
Support ad hoc accounting and finance projects as needed, contributing to process improvements and special initiatives.
Collaborate with cross-functional teams, including sales, service, warehouse, and leadership, to support their financial information needs and resolve accounting-related questions.
Essential Skills
Experience performing basic accounting tasks in at least one of the following areas: accounts payable, accounts receivable, or an accounting internship.
Proficiency with intermediate Excel, including pulling reports, generating and manipulating data, and using formulas for analysis.
Experience using Sage 100 or another ERP system for posting entries and managing financial data.
Strong attention to detail and accuracy when processing invoices, reconciliations, and financial entries.
Effective written and verbal communication skills, with the ability to work cross-functionally and support multiple departments.
Ability to manage multiple tasks, prioritize work, and meet deadlines in a dynamic environment.
Willingness to learn, take initiative, and grow into expanded responsibilities within the accounting function.
Additional Skills & Qualifications
Bachelor's degree in Accounting is preferred but not required.
Experience working with both accounts payable and accounts receivable processes.
Familiarity with generating financial reports and assisting with financial statement preparation.
Comfort working in a small, close-knit team environment where feedback is direct and expectations are high.
Adaptability to varying workloads and the ability to remain organized during peak periods.
Work Environment
The role is based in an open office environment with approximately 22 team members. The Accounting Assistant interacts regularly with a variety of groups, including sales, service, warehouse staff, customers, and leadership. The culture is tight-knit and collaborative, with a direct communication style and an expectation that team members handle feedback constructively and professionally. The pace of work varies throughout the year, with busier periods during key accounting cycles such as month-end and seasonal peaks. The position uses tools such as Sage 100 or similar ERP systems and Microsoft Excel on a daily basis. Professional office attire is expected, aligned with a traditional office setting.

Pay and Benefits
The pay range for this position is $20.00 - $23.00/hr.
