POSITION DETAILS
The Office of Student Affairs (OSA) within the Office of Academic Affairs (OAA) at the City University of New York (CUNY), located at the Central Office, provides strategic leadership, policy development, and system-wide support to advance student success across CUNY's 26 colleges and schools. In partnership with campus Student Affairs divisions, OSA strengthens programs and services that promote academic achievement, persistence, and holistic student development. Its portfolio spans key functional areas including student engagement, leadership development, health and wellness, mental health, disability and accessibility services, veteran affairs, women's centers, LGBTQI+ initiatives, student programs, childcare support, and student advocacy and basic needs resources. Through these efforts, OSA provides guidance, assistance, and professional development to support inclusive, equitable environments for CUNY students.
Reporting to the Senior University Director for Student Affairs and Strategic Initiatives, the Administrative Executive Assistant provides advanced administrative, operational, and analytical support to division-wide priorities and student-centered initiatives. This role serves as a central point of contact for internal and external stakeholders, ensuring effective communication, issue resolution, and alignment with OSA's strategic objectives.
In addition to the CUNY Title Overview information, other key duties include, but will not be limited to the following:
Conduct logistical planning and execution of division-wide activities, meetings, and conferences that support student learning and engagement.
Track and monitor progress on key initiatives, ensuring alignment with established goals, timelines, and deliverables.
Perform analytical research and provide administrative support for student-centered programs, initiatives, and strategic priorities.
Develop meeting materials, briefing documents, reports, and summaries to support leadership decision-making and operational effectiveness.
Serve as a front-facing representative of OSA, triaging inquiries and student concerns, assessing needs, and directing matters to the appropriate office for resolution.
Draft and facilitate communications on behalf of leadership, ensuring clarity, professionalism, and timeliness.
Support staffing-related administrative functions, including onboarding processes and providing guidance and training to support staff, as needed.
Perform other duties as assigned.
NOTE:
Until further notice, this position is eligible for a hybrid work schedule.
QUALIFICATIONS
Minimum:
Bachelor's Degree and four years' relevant experience required.
Preferred:
At least four (4) years of demonstrated experience performing analytical, administrative, and operational functions within a complex organization.
Graduate degree.
Experience in a higher education setting, with a strong interest in student services and a demonstrated commitment to the mission of student affairs.
Strong analytical, critical thinking, problem-solving, and research skills, with a high level of accuracy and attention to detail.
Excellent organizational and follow-through skills, with the ability to prioritize work, balance multiple assignments, and meet deadlines in a fast-paced environment.
Excellent written and verbal communication skills, with the ability to effectively engage and collaborate with a range of stakeholders.
High level of professionalism, integrity, and discretion in handling sensitive and confidential information.
Strong proficiency in student-centered enterprise systems and applications (e.g., PeopleSoft-based ERP systems such as CUNYfirst or similar platforms), as well as collaboration and meeting tools (e.g., Microsoft Office 365, Teams, Zoom).
Demonstrated commitment to delivering high-quality student service in a diverse and inclusive environment.
CUNY TITLE OVERVIEW
Provides support to a Campus or University Executive, organizing and supervising unit activities.
Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events. Maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule.
Coordinates Executive communications, including those requiring a high degree of sensitivity. May respond to public inquiries as well as requests from within the Campus/University community.
Organizes, creates, and distributes key, complex management reports with a high degree of accuracy.
Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities.
Procures required internal and external resources and services and manages their utilization.
May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing.
May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.

COMPENSATION AND BENEFITS
The salary range is $79,598 - $90,838 , commensurate with credentials, education, and experience.
CUNY is in the process of implementing salary schedule increases. Once implemented, salaries of eligible employees will be adjusted by 3.5% effective 9/1/26, in accordance with the terms of the PSC-CUNY collective bargaining agreement.
