Job Title: Accounts Payable and Customer Service Specialist
Job Description
This role manages the end-to-end process of signing bonus payments for hotels, coordinating closely with accounts payable and accounts receivable teams. You will gather and validate all required details, use an Oracle-based template to guide system and vendor setup, and ensure accurate and timely processing of payments. The position combines payables-style work, customer service, and light project management, offering significant variety, autonomy, and opportunities for growth.
Responsibilities
Manage the signing bonus process for hotel clients from start to finish, ensuring accuracy and compliance with established procedures.
Gather all necessary details and documentation related to signing bonuses and organize the information clearly for review and approval.
Prepare and present signing bonus calculations and supporting information to leadership and other stakeholders for approval.
Obtain required approvals and submit completed requests to the accounts payable team for processing.
Collaborate with the accounts receivable team to ensure proper recording, reconciliation, and tracking of related transactions.
Set up and maintain vendors in the system, following Oracle template guidelines and internal controls.
Use an Oracle-based template to guide system setup, vendor setup, and payment processing steps.
Respond promptly and professionally to customer service-@type inquiries related to signing bonuses, payments, and account issues.
Track the status of signing bonus requests and payments using spreadsheets, maintaining up-to-date and accurate records.
Perform light project management by monitoring progress, following up on outstanding items, and ensuring deadlines are met.
Use Microsoft Excel to filter data, apply formulas, and perform vlookup functions to support analysis and reporting.
Communicate clearly and professionally with internal teams and external partners at all levels.
Identify issues or discrepancies and apply strong problem-solving and analytical skills to resolve them.
Work independently with minimal supervision, managing multiple tasks and priorities in a fast-paced environment.
Essential Skills
Experience with accounts payable or similar payables-related processes.
Familiarity with accounts receivable and general accounting or finance (A&F) concepts.
Proficiency in Microsoft Excel, including filtering, formulas, and vlookup functions.
Customer service experience with strong telephone and interpersonal skills.
Ability to communicate professionally at all levels inside and outside the organization.
Demonstrated problem-solving ability and strong analytical skills.
Self-motivation and willingness to learn new systems and processes.
Experience using Oracle or similar ERP systems for financial or vendor-related tasks.
Administrative or office experience in a professional environment.
Additional Skills & Qualifications
Completion of accounting classes is preferred, but no degree is required.
Office experience is preferred, but the role is open to new graduates with relevant skills.
Experience working with Oracle templates or structured financial workflows.
Hospitality, hotels, or related industries is beneficial.
Interest in growing within an accounting, finance, or operations support career path.

The role operates in a hybrid work environment with three days in the office, typically Tuesday through Thursday, with flexibility as needed. Pay and Benefits
The pay range for this position is $25.00 - $28.00/hr.
