Job Summary
The Administrative Assistant will be a key member of the Engineering team, providing comprehensive administrative support to ensure the efficient operation of the department. The ideal candidate will be a proactive, detail-oriented individual with excellent organizational and communication skills, capable of managing a diverse workload in a fast-paced environment.
Essential Duties/Responsibilities:

Administrative Support
Provide general administrative support to the engineering staff, including managing correspondence, answering phones, and handling inquiries.
Prepare and edit documents, reports, presentations, and engineering submission packages.
Maintain and organize departmental files, records, and project documentation.
Serve as a liaison to the Risk Department to provide feedback from Operations and Engineering as needed.
Scheduling & Coordination
Manage complex calendars for senior staff, scheduling meetings, appointments, and conference calls.
Coordinate internal and external meetings, including booking facilities, preparing agendas, and distributing materials.
Make travel arrangements for the team, including booking flights, hotels, and transportation.
Help coordinate planning and scheduling of various educational programs presented by the Engineering Dept. (i.e.- Centrifuge School, Boiler School, etc.).
Project Support
Assist in tracking project timelines and expenditures.
Prepare and process purchase orders, invoices, and expense reports.
Maintain a Capital Inventory spreadsheet.
Maintain Capital Expenditure spreadsheet to help manage US Operations Capital tracking.
Develop and maintain tracking for Boiler Inspections, Carrier Risk Engineering reports, Infrared Inspections, and Vibration Analysis.
All other duties as assigned by management.
Minimum Qualifications:
High school diploma or equivalent is required. An Associate's or Bachelor's degree in Business Administration or a related field is preferred.
3-5 years of experience in an administrative support role, preferably within an engineering, construction, or technical environment.
Proficiency in the Microsoft Office Suite (Excel, Word, Outlook).
Exceptional organization and time-management skills with a proven ability to manage multiple tasks simultaneously.
Experience with data entry and maintaining accurate records.
Preferred Qualifications:
Experience with Project Management Software and Oracle or a similar ERP system.
Communicates clearly in verbal and written form.
Excellent math skills.
Ability to work independently and as part of a team.
