A busy, patient-centered healthcare practice is seeking an experienced Medical Receptionist to join its team in Richland, WA. This is a full-time, permanent position offering long-term career stability, excellent benefits, and the opportunity to be part of a collaborative healthcare environment.
This role is ideal for a professional with prior medical office experience who can confidently step into a fast-paced setting with minimal training and quickly become an integral member of the team.
As the first point of contact for patients, physicians, referral sources, and visitors, you'll play a key role in creating an exceptional patient experience while supporting the daily administrative and operational needs of the clinic.
Essential Duties & Responsibilities
Patient Reception & Customer Service
Welcome patients and visitors with professionalism, warmth, and compassion
Check patients in and out efficiently
Verify and update demographic and insurance information
Collect copayments, deductibles, and patient balances
Answer and direct calls through a multi-line phone system
Respond to patient inquiries or route questions to the appropriate staff member
Maintain strict HIPAA compliance and patient confidentiality
Scheduling & Patient Coordination
Schedule new and follow-up appointments
Coordinate provider schedules to maximize efficiency
Confirm appointments and communicate schedule changes
Maintain accurate appointment calendars and patient records
Insurance & Medical Office Administration
Verify insurance eligibility and benefits
Obtain referrals and prior authorizations
Enter patient information accurately into the electronic medical record (EMR)
Scan, upload, and maintain patient documentation
Process incoming and outgoing mail, faxes, and electronic correspondence
Prepare paperwork for upcoming patient appointments
Shipping & Receiving
Receive daily deliveries of medical devices, components, and office supplies
Verify packing slips against purchase orders and report discrepancies
Accurately receive inventory into the practice management system
Package and ship completed devices, repairs, warranty items, and documentation
Coordinate shipments with UPS, FedEx, USPS, and other carriers
Maintain an organized shipping, receiving, and storage area
Assist with inventory organization and supply replenishment
Office Operations
Open and close the office following established procedures
Maintain a clean, organized, and professional reception area
Monitor office supplies and coordinate reordering
Support clinicians and coworkers with administrative tasks as needed
Assist with special projects and other duties assigned
Required Qualifications
Associate degree or higher
Minimum of 2 years of recent medical receptionist or medical office experience
Experience with:
Insurance verification
Referrals and prior authorizations
Appointment scheduling
Electronic Medical Records (EMR)
Proficiency with Microsoft Outlook, Word, and Excel
Excellent customer service and communication skills
Strong organizational and multitasking abilities
Exceptional attention to detail and accuracy
Stable employment history with excellent professional references
Preferred Qualifications
Spanish-speaking
Experience in a specialty medical practice
Knowledge of medical terminology
Experience with shipping, receiving, or inventory management
