Mission Computing is a newly established division in MITRE Operations Sector, created as the institutional home for MITRE's advanced computing infrastructure and operational AI support across all mission programs. Think mission platforms, AI enablement, lab support, virtual environments, and secure mission compute, all under one roof, with an integrated service model that makes computing easier to discover, request, and use across MITRE. The division's Director also serves as MITRE's Head of AI Enablement, leading the enterprise AI-Native Workforce initiative to ensure MITRE succeeds at adopting frontier AI tools and AI-based workflows into its operations, research, and mission-focused project work.
In this high-trust front-office role, the successful candidate will partner upward with the COO's office and admin team, and laterally across peer organizations, including Enterprise Technology, Communications & External Affairs, Global Security, the Operational Excellence program office, as well as with Finance and HR. At launch, this fast-growing resource organization is comprised of a Director, Deputy Director, 2 departments, and approximately 75 staff. This is a rare chance to shape operating rhythms and drive the success of a high-visibility new organization at MITRE.
Roles & Responsibilities:
In this dynamic, fast-moving role, your key responsibilities will include:
· Manage complex calendars, daily priorities, meeting cadence, and operating rhythms for the Mission Computing leadership/front-office function.
· Coordinate MC leadership meetings, roadmap reviews, all-hands, stakeholder engagements, and cross-site logistics for geographically distributed teams.
· Support AI Native Workforce activities, including adoption events and related stakeholder coordination, while demonstrating curiosity and initiative in exploring how administrative professionals can responsibly apply AI to improve operational excellence
· Coordinate logistics for staff onboarding, hiring interviews, visitor coordination, infrastructure tours, parking, badging/escort needs, and new staff integration activities.
· Prepare, coordinate, and manage documents, presentations, action trackers, approvals, signatures, communications, and content repositories such as SharePoint and Microsoft Teams.
· Arrange travel, prepare itineraries, process expense reports, support purchase requests and requisitions, and provide general office/event management support.
· Maintain discretion and confidentiality while handling sensitive leadership communications, organizational planning, budget, staffing, platform operations and AI policy materials.
Basic Qualifications:
· Typically requires a minimum of 3 years of related experience with a High School Diploma or equivalent in education, or 2 years of experience and an Associate's degree, or a combination of education and related work experience.
· Experience supporting a senior executive, equivalent executive-level staff, or a department/division leadership team in an administrative or front-office role.
· Demonstrated proficiency with Microsoft PowerPoint, Word, Excel, Outlook, Microsoft Teams, Zoom, and related desktop, mobile, and VTC technologies.
· Strong organization skills, attention to detail, judgment, discretion, and ability to manage multiple priorities in a dynamic leadership environment.
· Ability to coordinate calendars, meetings, events, logistics, travel, expense reports, documents, approvals, and stakeholder communications with limited direction.
· Ability to use collaboration and content-management tools such as SharePoint and Microsoft Teams, and to troubleshoot routine administrative and technology issues as they arise.
· Ability to work on site in McLean, VA or Bedford, MA a minimum of 4 days per week, with McLean as the primary location for the plurality of Mission Computing staff.
· Ability to provide occasional support outside normal business hours.
Preferred Qualifications:
· Experience supporting senior leaders or leadership teams in a technology, operations, AI, mission-enablement, or enterprise transformation organization.
· Experience supporting a growing organization, division front office, new operating model, service catalog, roadmap, or cross-functional engagement model.
· Interest in serving as an early adopter and champion for responsible AI-enabled administrative practices, including experimenting with approved AI tools to improve workflows, coordination, communication, and knowledge management.
· High level of poise, tact, and diplomacy when working under time pressure with executives, customers, managers, and support personnel.
· Experience with Concur travel and expense software, purchase requests, requisitions, and related administrative business processes.
· Experience using SharePoint and Microsoft Teams to manage department/division content, collaboration spaces, communities, and communications.
· Project coordination experience, including ability to develop plans, manage deadlines, track actions, coordinate events, gather inputs, and mitigate risks.
· Superior interpersonal, written, and verbal communication skills; ability to work collaboratively and independently across sites and organizational boundaries.
· Ability to proactively assess situations and make decisions within broadly defined practices and procedures.
