About the Team

Your Role & Responsibilities Administrative Support
Prepare, draft, and manage correspondence for the Program Head's review and signature.
Act on and coordinate requests needing approvals and manage confidential information with a high degree of discretion.
Accurately process expense reports, purchase orders, and goods receipts.
Develop and maintain digital and physical filing systems and keep program records organized.
Schedule & Stakeholder Management
Manage complex calendars, prioritize requests and proactively resolve scheduling conflicts.
Organize domestic and international travel, including itineraries and event arrangements for the Program Head and designated staff.
Maintain up-to-date travel schedules, coordinating with others to ensure seamless logistics.
Support the planning of company events and community engagement activities.
Foster relationships with local officials and community leaders.
Other Responsibilities
Lead or assist in the organization of company-wide events.
Collaborate with administrative assistants across teams and departments.
Represent the Program Head in meetings and ensure prompt handling of all matters during their absence.
Qualifications - Your Boarding Pass
Education:
Bachelor's Degree in English, Business Administration, Communications, or a related field.
Experience:
At least 2 years of progressive experience supporting senior-level managers.
Skills & Abilities:
Proficiency with digital workplace tools (Google Suite, Smartsheets, GMeets).
Outstanding written and verbal communication skills.
Ability to juggle a complex schedule and maintain confidentiality.
Attention to detail and excellent proof-reading abilities.
Preferred:
Experience with analytics and administrative systems (Tableau, SAP, Concur, Click 'n Buy).
Notary Public certification a plus.
Fluency in German and/or French is highly desirable.
Physical Requirements
Vision, hearing, and communication skills sufficient to operate computers and interact effectively in an office and production setting.
Ability to occasionally lift or carry up to 50 lbs and perform occasional squatting, kneeling, or standing as required.
Willingness to travel domestically and internationally as needed.
