Administrative Assistant

Description We are looking for an organized Administrative Assistant to support daily office operations for a legal organization in Miami, Florida. This is a Contract position suited for someone with at least 2 years of experience handling administrative tasks, data entry, and front-facing communication. The ideal candidate is detail-oriented, courteous on the phone, and comfortable managing records and financial support activities in a structured office environment.

Responsibilities:

Maintain accurate electronic and numeric records by entering, updating, and verifying information in internal systems and spreadsheets.

Provide administrative support for daily office activities, including scheduling, document preparation, and general coordination.

Handle incoming calls courteously, direct inquiries appropriately, and relay messages in a timely manner.

Assist with accounts payable tasks such as organizing invoices, preparing payment-related documentation, and tracking submissions.

Review data for completeness and accuracy, correcting inconsistencies and following up when information is missing.

Organize and maintain office files, correspondence, and other administrative records to support efficient operations.

Support the team during standard business hours of 9:00 AM to 5:00 PM, including a one-hour unpaid lunch break. Requirements
