Summary This position is assigned to support the Director of MIRECC (Mental Illness Research, Education and Clinical Center), Program Management Officer and Associate Directors as needed at the Greater Los Angeles VAMC . Responsibilities Duties include but are not limited to: Interfaces with physicians, patients, patient representatives, etc. relieving the MIRECC Director of more procedural administrative responsibilities. Assists with preparation of detailed projections, based on past records and analyses, for the MIRECC yearly budget. Tracks, compiles and summarizes service-wide information and data for periodic reports. Assumes administrative responsibilities allocated by the MIRECC Director and Program Management Officer. Monitors all workflow related to the recruitment of all MIRECC employees. Initiates and reviews all personnel actions and advises MIRECC Director/Associate Directors and Program Management Officer to ensure compliance with personnel rules and regulations. Informs employees and supervisors regarding personnel policies, including performance evaluations, incentive awards, and ensures that all position descriptions, performance appraisals, and job analyses are accurately proposed and regularly updated. Functions as the Control Point Clerk and handles issues such as preparing fiscal reports and budget proposals. Responsible for all IFCAP entries and contacts with vendors to make sure appropriate expenditures are incurred. Accountable for applying basic theories and principles of administration and organization in order to assure efficient and effective productivity of all office functions including record keeping, filing, routing of correspondence, and delegation of authority. Excellent written and verbal communication skills for preparing reports, memos, and official correspondence. Experience interacting professionally with internal and external stakeholders. Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with VA-specific systems is highly desirable.
