Duties Description Answers telephone and gives information to callers, takes messages, and transfers calls to appropriate individuals. Greets visitors or callers and handles their inquiries; or directs them to the appropriate persons. Opens, reads, routes, and distributes incoming mail or other materials and answers routine inquiries. Tracks and coordinates assignments. Sets up and manages paper and electronic filing systems. Uses various information technology applications such as email, database, spreadsheets and word processing applications. Operates office equipment such as printers, scanners, and copiers; and arranges for repairs when equipment malfunctions. Creates, maintains, and enters information into spreadsheets and databases. Maintains scheduling and event calendars. Schedules and confirms appointments for clients, customers, or supervisors. Coordinates conferences, meetings, or special events. Makes travel arrangements for staff. Creates and/or submits travel expense reports for staff. Completes forms in accordance with agency procedures. Makes copies of various documents, places them in proper files, and distributes them to appropriate staff. Locates and attaches appropriate files to incoming correspondence requiring replies. Composes, @types, and distributes meeting notes, correspondence, and reports. Provides services to customers, such as order placement or account information. Reviews work done by others to check for correct spelling and proper grammar, ensures that office format policies are followed, and recommends revisions. Searches for information using various sources including the internet. Manages projects or contributes to committee or team work. Mails various items including letters, reports, and promotional materials; and prepares packages and arranges for them to be shipped. Orders and distributes supplies. Creates conference or event materials such as flyers or invitations. Establishes work procedures or schedules and keeps track of the daily work of clerical staff. May supervise other clerical staff and provide training and orientation to new staff. May take meeting minutes, and/or prepare material from dictation. POSITION DESCRIPTION:The Administrative Assistant Tr/1's primary role will be to provide administrative and clerical support to the Article 16 Clinic, Medical Records department, and Administration offices at Bernard Fineson DDSO. The incumbent will be responsible for answering phone calls, greeting visitors, scanning, tracking and uploading documentation to the Electronic Health Record (EHR), filing, maintaining appointment schedules/calendars, confirming appointments, scheduling meetings, taking meeting notes/minutes, ordering and distributing supplies, and completion of Tracking and Billing System (TABS) entries. PRIMARY DUTIES AND RESPONSIBILITIES:The incumbent will provide secretarial and administrative support to Region 6 State Operations departments. The candidate must be able to exercise good judgement and make decisions on a regular basis. The preferred candidate will have a working knowledge of TABS, EHR, Microsoft Word/Excel/Outlook, Teams, Webex systems. Responsibilities to include: - Identifying administrative problems and solutions.- Preparing written communications to agency staff.- Maintain database files and assignment logs. - Interface with agency staff, referral sources, families, hospitals, and OPWDD leadership regarding day-to-day issues, hospitalizations, facility/maintenance issues, complaints and emergencies.- Will refer inquiries concerning new intake applications to appropriate parties- Maintain complex appointment calendar for the Article 16 Clinic. - Will schedule, attend, and take minutes at meetings as requested.- Will track training and licensing of various clinicians.- Will coordinate ordering and deliveries of requested supplies- Will compile various statistical data and prepares report computations/ charts for presentation. - Will interface with supervisory staff regarding day-to-day issues, maintenance issues and emergencies. - Will maintain file rooms with Medical and Clinical records, and interface with the EHR in compliance with HIPAA regulations.- Will gather documentation for surveys, audits, etc. - Will maintain and distribute survey/inspection records for certified sites including log of visit dates, Statements of Deficiencies and Plans of Corrective Action.- Will update Policy Manuals when requested.- Will maintain Fire Drill and Training documentation for Article 16 Clinic - Will address TABS Census and Billing issues. - Will update/maintain medical on-call schedule and activity logs,.- Will provide coverage for other Administrative Assistants' breaks/time off as needed.- Will complete all annual and required trainings as required by agency and title. - Will participate in special assignments as needed / requested.LinkedIn: https:/www.linkedin.com/company/nys-office-for-people-with-developmental-disabilities/post/feedView=all#LI-MG1
Minimum Qualifications OPEN COMPETITIVE QUALIFICATIONS:The position may be filled at the Administrative Assistant Trainee 1 level equated to SG-8, Administrative Assistant Trainee 2 level equated to SG-10, or full performance Administrative Assistant 1 SG-11, based on education and experience. Candidates hired at the trainee level will be advanced to the full performance level following the successful completion of the traineeship.Administrative Assistant Trainee 1: Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training at the Trainee 1, you will automatically advance to Trainee 2.Administrative Assistant Trainee 2: One year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training as a Trainee 2 you will advance to the full level of this title without further examination.Administrative Assistant 1: Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. ORCertification (e.g., IAAP Certified Administrative Professional) or associate degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.COMPETITIVE MINIMUM QUALIFICATIONSCandidates must be reachable for appointment on the current Civil Service Eligible List for this title.70.1 TRANSFER QUALIFICATIONSBe eligible to transfer via Section 70.1 of Civil Service Law. Candidates must have one year of permanent competitive or 55b/c service in a title SG-9 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law AND must have completed all required mandatory and elective coursework. Additional Comments This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). HELPS Program titles may be filled via a non-competitive appointment. This means that you do not need to take an exam to qualify, but you do need to meet the minimum qualifications of the title. At a future date (within one year of permanent appointment), employees hired under NY HELPS are expected to have their permanent non-competitive employment status converted to permanent competitive status. You will not have to take an exam to gain permanent competitive status. - Appointments may also be made at the Administrative Assistant Trainee levels. Candidates hired at the entry-level title (Administrative Assistant Trainee 1) will be required to take four mandatory courses the first year of the traineeship and four elective courses in each the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, G-11. Salary range listed below encompasses the hiring rate of an Administrative Assistant Trainee 1 through the job rate of an Administrative Assistant 1. - Administrative Assistant Trainee 1: $44,625 - Administrative Assistant Trainee 2: $49,260 - Administrative Assistant 1: $52,006 - $64,467 Amounts include Downstate adjustment ($4,000). - If you are currently a New York State employee serving in a permanent competitive qualifying title and eligible for a transfer via Section 70.1 of the Civil Service Law, you may be appointed to this title as a permanent competitive employee. - Preference will be given to OPWDD employees impacted by closures.
