Summary This Program Support Assistant position is to serve as the Program Support Assistant to the Caregiver Support Program Manager and provide administrative support to the Caregiver Support Program staff. Is an important member of the Caregiver Support Team and is relied upon to have extensive communication skills with Veterans/caregivers enrolled in and/or applying for the program. The incumbent supports all administrative functions for the program, working efficiently and successfully. Responsibilities Major duties include, but are not limited to: Provide technical and administrative guidance necessary to achieve efficient service operations within the VA medical facility and maintain stakeholder satisfaction. Prepare and tracks documents and correspondence to coordinate actions and close action items. Anticipate obstacles to operational management that are likely to interfere with the accomplishment of objectives and take or recommend the necessary action to prevent their occurrence. Provide required documents within required timeframes for position management, hiring actions, FTE requests, and performance appraisals. Provide administrative orientation and training to new employees within HPEO. Serve as the timekeeper for and is familiar with timekeeping codes and the process for validating and processing timecards accurately. Manage and maintain electronic files and program data in SharePoint and on shared drives. Provide support for HPE Office staff in data collection, data entry and financial analysis work. Prepare and distributes approved agendas, prep materials, and minutes of meetings. Overseeing logistics, planning, and preparation for HPEO meetings include scheduling, materials, travel and lodging arrangements, and special events. Qualifications GS-7 level Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Providing Vista, CPRS, and PCMM software assistance to Primary Care team members, veterans, family of veterans and other facility personnel regarding patient assignments, enrollment and other primary care activities and responsibilities, Providing patients and medical staff with accurate instructions regarding eligibility, procedures and policies for outpatient care and primary care gender specific needs. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have the following: 1 full year of graduate-level education beyond a bachelor's degree (18 semester hours). Occasionally, light physical effort may be required, such as that involved with walking, stair climbing, and carrying light office items.
