The Research Foundation for Mental Hygiene is seeking a qualified candidate to fill a full-time Administrator Coordinator position. The Crisis Response Engagement Skills Training Institute (CRESTNY) Administrative Coordinator provides coordination of the Institute's training, implementation activities, and oversight/evaluation of activities.
CRESTNY is located at the Center for Practice Innovations (CPI), New York State Psychiatric Institute (NYSPI) and partners with the New York State Office of Mental Health (NYSOMH).
This position requires a highly organized individual with excellent data, administrative and communication skills, who can work effectively with a diverse group of collaborators across state and city government, behavioral health providers, internal CPI/NYSPI departments, units, initiatives, and external vendors.
The Administrative Coordinator reports directly to the Director of the CRESTNY. They will also work closely with CPI's Director of the Online Assistance Unit (OAU) on matters related to the Initiative's website pages and the CPI learning management system. Additionally, they will work with CPI's Associate Director who oversees CPI's data and module development units. Overall, the Administrative Coordinator supports the overall operations of the Institute to run smoothly and serves as a first point of contact for users of CRESTNY training and learning management systems and partnering with the Director and Implementation Specialists to ensure everything is on schedule to meet or exceed deadlines.
Duties and Responsibilities:
Duties are related to the management of the CRESTNY and include (but are not limited to):
Working closely with Director in developing the CRESTNY platform.
Coordinate times for workgroups and steering committees with NYSOMH, CPI, NYCDOHMH, and other collaborators.
Schedule meetings with the Initiative's internal and external partners.
Coordinate all training activities with Initiative's implementation specialists and facilitate communication and any scheduling with the Online Assistance Unit (OAU) and the team. Work alongside the CRESTNY team with OAU on Learning Management System (LMS) Virtual Platform and any public facing content management systems, e.g. website.
Work alongside the CRESTNY team with CPI's module development unit, subject matter experts, OMH, vendors, and others ensure that new online training modules are developed and made available to learners.
Schedule interactive learning community meetings, webinars, training sessions, consultations, and support calls. Support the development of pre and post evaluations, surveys, and questionnaires for ongoing data collection.
Plan and set virtual meetings.
Plan and set up F2F meeting/conference spaces.
Support CRESTNY Director and team in reviewing CPI's currently existing online training modules and recommend what is relevant for CRESTNY.
Participate on the design, creation, and dissemination of marketing materials, such as the Wave newsletter, for CRESTNY learning community meetings, webinars, training sessions, consultations, and support calls.
Establish system of CEU's and prepare continuing education unit approval request paperwork.
Maintaining CRESTNY provider and contact lists.
Enroll learners into CPI's learning management system, in collaboration with OAU, so that they can access online training modules and other resources.
Co-writing/editing/proofreading newsletters and news briefs
Develop, update, and proofread web pages.
Compile and analyze data and creating reports (such as pilot reports, annual reports.)
Arrange travel for all Initiative members.
Monitor inventory and order office supplies.
Process and track all accounts payable, including vendors, consultants, invited guests, and training groups.
Minimum Qualifications:
High school diploma and (5) years of experience, or bachelor's degree in related field and (2) years of related experience.
Personal lived & living experience of mental health and/or substance use recovery can substitute for education.
A minimum of (1) year of experience in Microsoft Office Software (Outlook, Word, Excel, PowerPoint)
(1) year of experience with streaming platforms (e.g., ZOOM).
(1) year of experience with project administrative coordination
Preferred Qualifications:
(6) months' experience in Project Planning or Management or related education/certificates
(6) months experience in design software such as Canva Pro, Adobe Creative Suite, and Adobe Acrobat Pro.
(6) months in data collection and visualization software (e.g., Redcap, Qualtrics, and Tableau)
(6) months' experience with Continuous Quality Improvement
(6) months' experience in academic/research administration
