Job Description
This Accounting Associate role focuses on end-to-end accounts payable and accounts receivable processing, accurate financial recordkeeping, and general administrative support for a growing organization. You will handle invoice processing, billing, collections support, and customer and vendor account maintenance while also serving as a key front office contact. This position offers the opportunity to contribute to the growth of the accounting department over time in a culture that values internal promotion, training, and long-term loyalty.
Responsibilities
Process accounts payable, including invoice entry, 3-way matching, and resolution of vendor discrepancies.
Review invoices for accuracy, proper coding to the general ledger, and correct pricing prior to posting.
Maintain up-to-date vendor records and support ongoing communication with vendors.
Manage accounts receivable functions, including generating customer invoices, submitting invoices through customer portals, and applying payments received via ACH, wire, and check.
Monitor accounts receivable aging reports and support collections follow-up as needed.
Maintain accurate customer accounts and investigate and resolve billing discrepancies.
Support month-end close activities by preparing documentation, reconciling information, and distributing customer statements.
Assist with job tracking, data entry, and daily shipment reconciliation to ensure accurate and timely records.
Serve as the front office point of contact by greeting visitors, answering incoming inquiries, and directing requests appropriately.
Coordinate office supplies, maintain organization of the office, and provide general administrative support for the site.
Provide ongoing administrative and operational support to the accounting team to ensure smooth day-to-day operations.
Essential Skills
3+ years of experience in accounts payable, accounts receivable, and/or bookkeeping.
Hands-on experience with 3-way match and properly coding invoices to the general ledger.
Experience performing credit card reconciliations.
Proficiency in Excel, including using sums, working with columns, and drag-and-drop functions.
Strong attention to detail and reliability in a fully on-site role with standard working hours.
Ability to manage multiple tasks, prioritize responsibilities, and meet deadlines in a fast-paced environment.
Clear written and verbal communication skills for interacting with vendors, customers, and internal teams.
Additional Skills & Qualifications
Associate's degree in accounting, finance, or a related field is preferred.
Bilingual proficiency in Spanish is highly preferred.
Prior experience in an accounting associate or similar role handling both AP and AR functions.
Comfort working with accounting systems and customer/vendor portals.
Interest in growing within the accounting function and taking on additional responsibilities over time.
Work Environment
The role is based in an office environment where you will work closely with the accounting team and serve as a primary front office contact for visitors and incoming inquiries. Pay and Benefits
The pay range for this position is $25.00 - $25.96/hr.
