Job Summary:
Key Responsibilities
Support interdisciplinary care delivery for patients with mild to moderate TBI and associated conditions
Perform medication reconciliation for all EVAL and IOP patients prior to any provider evaluation
Document vitals, past medical history, surgical, family and social history, prior to provider evaluation of EVAL patients
Perform vitals and medication reconciliation for all IOP patients the day of arrival
Update past medical history, surgical, family and social history for all IOP patients (ideally within 24 hours of arrival)
Upload imaging (Head CT, Brain MRI)
Prepare exam rooms, assist during clinical visits, and ensure efficient patient flow
Obtain and monitor vital signs, including orthostatic measurements and specialty screenings (e.g., hearing, POTS assessments)
Perform clinical procedures including venipuncture, specimen collection, and medication reconciliation
Assist in implementation of individualized treatment and care management plans
Provide patient education on treatment plans, medications, and self-care strategies
Identify deviations from normal clinical findings and escalate concerns appropriately
Conduct phone triage and patient follow-up communications
Coordinate daily patient flow across an interdisciplinary care model
Support patient scheduling, including complex multi-disciplinary appointment coordination in EPIC
Serve as a key liaison between patients, providers, & care teams to ensure continuity of care
Assist with referrals, follow-up care, and coordination of external services and therapies
Maintain and optimize EHR workflows, documentation processes, and troubleshooting
Conduct routine chart audits to ensure compliance, accuracy, and quality standards
Manage inventory, supplies, equipment, and clinical disposal processes
Support billing documentation and adherence to clinical documentation standards
Participate in programmatic and operational improvements to enhance efficiency and patient experience
Assist with clinical research activities aligned with MIBH priorities (e.g., TBI, repetitive blast exposure, interdisciplinary interventions)
Support research participant coordination, including scheduling, intake, and follow-up
Assist with data collection, entry, and quality assurance under supervision of research staff
Maintain regulatory compliance with research protocols (IRB processes, consent procedures, documentation)
Support integration of clinical care and research initiatives to enhance translational outcomes
Participate in quality improvement (QI) and program evaluation efforts
Contribute to implementation of new clinical protocols and pilot initiatives
Work closely within an interdisciplinary team including physicians, psychologists, therapists, and researchers
Communicate effectively with patients, families, military/veteran stakeholders, and care teams
Participate in team meetings, case conferences, interdisciplinary workgroups, and staff meetings
Contribute to a culture of excellence, innovation, and continuous improvement
Demonstrate cultural competence, particularly with military, veteran, and first responder populations

Qualifications:
Minimum Qualifications:
Graduate of an accredited program in one of the following:
Medical Assistant
Emergency Medical Technician
Nursing Assistant or related healthcare field
A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor's degree on a year for year basis.
Preferred Qualifications:
2 years clinical experience (MA, EMT, CNA or similar role)
2 years medical office experience
2 years Electronic Health Record (EHR) experience
Bachelor's degree in nursing, health sciences, human services, or closely related field
Experience working with:
Veterans, military service members, or first responders
Patients with TBI, PTSD, or complex neurological/behavioral health conditions
Experience in an interdisciplinary or team-based care model
Current BLS/CPR certification
Knowledge, Skills and Abilities:
Excellent written and verbal communication skills
Strong organizational skills with attention to detail and ability to manage complexity
Ability to work both independently and collaboratively in a fast-paced environment
Demonstrated commitment to patient-centered care and service excellence
Problem-solving mindset with initiative and adaptability
Knowledge of medical terminology, clinical workflows, and patient care practices
Understanding of quality improvement, patient safety, and risk management principles
Adherence to HIPAA, OSHA, and institutional compliance standards
Exposure to clinical research or willingness to engage in research support activities
Familiarity with EPIC or advanced EHR optimization and workflow improvement
Strong understanding of culturally competent care in high-performance populations
