Summary This position is located at the Veterans Administration Medical Center at the Central Virginia Veterans Healthcare System, Richmond VA and the position is located in Physical Medicine and Rehabilitation. The Lead Medical Support Assistant (MSA) position serves as a Lead Clerk for all assigned Medical Support Assistants (MSA) and Advanced Medical Support Assistants (AMSA) and works collaboratively in an interdisciplinary coordinated care delivery model. Responsibilities Duties associated with the position include, but are not limited to: Incumbent interfaces and collaborations with the larger health care system providers including VA and non-VA specialists, hospitals, diagnostic and treating facilities, and community-based programs to best meet the needs of the service. This includes contacting clinical services outside of PM&R and/or facility to solicit medical documentation, as needed, necessary for optimal patient care. This may also include scanning/uploading/organizing solicited information into the medical record (MR) when facility scanning is off-line or unavailable. The incumbent must be conscientious regarding the confidentiality of the variety of material that will be handled. The position requires a practical knowledge of an extensive body of the organization's rules and regulations governing confidentiality, including but not limited to the Privacy Act and HIPAA. The incumbent assists staff with a variety of clerical duties in one or more outpatient clinics that provide a variety of medical services. The incumbent must have knowledge of clinic procedures and regulations; basic medical terminology, skill in operating computer systems and applications, such as VISTA, CPRS, and Microsoft applications to accurately enter or extract information. Other assignments at this level include, but are not limited to: participating in or leading team huddles and team meetings to manage and plan patient care; setting priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs; may work with the team to reinforce the plan of care and self-help solutions and entering appropriate information into the electronic record; monitoring pre-appointment requirements to assure readiness for patient visit/procedure; participating and providing input in problem solving on operational issues or procedures in team meetings, performing administrative follow up actions; participating in and independently following up on team huddles by sharing information and collaborating with the medical team to assure continuity of care; evaluating patient information and clinic schedule lists to determine whether patient is vested. The incumbent must provide excellent customer service and must adhere to VA local, National and Service policies and procedures. Work Schedule: Work hours include various tours from 7:00 - 5:30 Monday through Friday. However, on occasion, additional hours and weekends may be required; management reserves the right to determine tour of duty and location of duty. Specialized Experience: The Lead MSA monitors and makes work assignments, provides input on performance, resolves daily workplace issues and maintains efficient workflow. Specialized experience is work that has been performed independently as it relates to the general supervision of AMSA's, which includes: assuring coverage of all areas of responsibility; conducting ongoing reviews to ensure quality of work; ensuring accurate and timely scheduling of medical appointments; distributing and balancing workload; creating and maintaining employee work schedules; orienting and providing on-the-job training for new and current employees; ensuring all training requirements are met; organizing the work structure of his/her assigned areas; and acting as liaison between AMSA's and staff in order to resolve day-to-day conflicts. Grade Determinations: GS-7 Lead MSA Experience. One year of experience equivalent to the next lower grade level. Demonstrated Knowledge, Skills, and Abilities. Ability to manage staffing requirements, manage priorities, and coordinate work in order to complete duties in an accurate and timely manner. This includes the ability to follow-up on pending issues and demonstrating an understanding of the impact of incomplete work. 5.
