Construction Project Coordinator - Food Facilities and Cold Storage
Job Description
The Construction Project Coordinator supports the preconstruction department by coordinating complex food facility and cold storage projects ranging from $5 million to $80 million. This role focuses on contract and document administration, project coordination, and licensing support across multiple states, ensuring that project managers have the information, documentation, and logistical support needed to deliver projects efficiently and accurately.
Responsibilities
Collaborate closely with the preconstruction department to support food facility and cold storage construction projects ranging from $5 million to $80 million.
Perform comprehensive contract administration, including tracking contract documents, amendments, and related correspondence.
Manage document control processes by organizing, updating, and maintaining all project documentation in an accurate and timely manner.
Prepare, issue, and track Requests for Information (RFIs), ensuring timely responses and proper documentation.
Create, process, and monitor change orders, ensuring that all scope changes are documented, approved, and reflected in project records.
Handle project-related administrative tasks that are not performed directly by the project manager, providing reliable operational support.
Coordinate licensing requirements in all states where projects are located, ensuring that applications, renewals, and approvals are completed on schedule.
Perform data entry for project information, costs, schedules, and other key metrics to maintain accurate records and reports.
Assist with job cost analysis by compiling and reviewing cost data to support budgeting and cost control efforts.
Support project schedule management by updating timelines, tracking milestones, and coordinating schedule-related communications.
Schedule and coordinate project meetings, including preconstruction meetings and progress reviews, and prepare related materials as needed.
Assist with safety training coordination by tracking requirements, scheduling sessions, and maintaining training records.
Support punch list management by organizing punch list items, tracking completion, and updating documentation.
Contribute to cost control activities by monitoring project expenses and supporting financial tracking processes.
Provide general project coordination support to both office and field teams to help ensure smooth project execution.
Essential Skills
Minimum of 2 years of experience as a project coordinator, preferably in a construction environment.
Proven experience in contract administration for construction or similar projects.
Strong document control skills with the ability to organize, track, and maintain large volumes of project documentation.
Demonstrated experience in project coordination and project administration.
Ability to prepare, process, and track RFIs and change orders accurately.
Experience with job cost analysis and basic cost control practices.
Familiarity with project scheduling concepts and tools to support schedule updates and tracking.
Strong data entry skills with attention to detail and accuracy.
Ability to schedule and coordinate meetings effectively with multiple stakeholders.
Experience working with either subcontractors or general contractors on construction projects.
Solid understanding of construction management principles and project workflows.
Organizational skills to manage multiple tasks and deadlines in a dynamic project environment.
Additional Skills & Qualifications
Experience supporting licensing coordination across multiple states or jurisdictions.
Exposure to food facility or cold storage construction projects.
Familiarity with safety training coordination and tracking.
Experience assisting with punch list management and closeout activities.
Ability to collaborate effectively with project managers, field teams, and external partners.
Strong written and verbal communication skills to support clear project documentation and correspondence.
Proficiency with common office software and project-related systems used for document control, scheduling, and reporting.
Work Environment
This role operates in both office and project site environments. Time in the office focuses on administrative tasks, documentation, scheduling, and coordination, using standard office technology and project management tools. Time at project sites involves supporting field teams, participating in meetings, and helping manage on-site documentation and coordination. The position requires flexibility to move between office and site settings and to adapt to the pace and demands of active construction projects.

Pay and Benefits
The pay range for this position is $30.00 - $35.00/hr.
