Description We are looking for a Senior Administrative Assistant to join our team in Lutz, Florida. This Contract to permanent position requires a highly organized and detail-oriented individual to support our senior staff and management. The ideal candidate will play a key role in ensuring seamless operations, managing administrative tasks, and contributing to the overall efficiency of the organization.

Responsibilities:

Provide comprehensive administrative support to senior staff and management, ensuring smooth day-to-day operations.

Oversee and mentor the administrative assistant team, fostering collaboration and efficient task delegation.

Organize and maintain project trackers, ensuring deadlines and objectives are consistently met.

Prepare, proofread, and edit reports, proposals, and presentations with a high level of accuracy.

Coordinate meetings and events, including agenda preparation, minute-taking, and follow-up on action items.

Handle data entry, document management, and other administrative tasks with precision and efficiency.

Assist in scheduling and calendar management for senior staff, ensuring optimal time allocation.

Arrange travel bookings and logistics for team members, ensuring all details are managed effectively.

Identify and implement process improvements to enhance administrative operations.

Support import/export documentation processes and facilitate conference call arrangements as needed. Requirements - At least 4 years of experience in administrative support, preferably in a senior capacity.

Proficiency in Microsoft 365 applications, including SharePoint, Excel, and PowerPoint.

Strong organizational skills with the ability to manage multiple priorities and meet deadlines.

Experience in calendar management and scheduling for senior-level staff.

Ability to handle confidential information with discretion and professionalism.

Skilled in booking travel arrangements and managing logistics.

Familiarity with import/export documentation processes is a plus.

Excellent communication and interpersonal skills to work effectively in a fast-paced environment. TalentMatch®
