This position plays a critical role in enabling the effectiveness of the HUB by driving seamless administrative execution, operational discipline, and coordination across a global, matrixed communications environment. The Sr. Administrative Assistant will operate as a trusted partner to the VP, maintaining visibility across priorities, anticipating needs, and ensuring the smooth delivery of HUB activities at speed and scale.
RESPONSIBILITIES / PRINCIPAL DUTIES
The Sr. Administrative Assistant will execute against a dynamic portfolio of responsibilities, including but not limited to:
Executive Support & Prioritization
Serve as a strategic administrative partner to the VP leading the IM CPA Core Capability HUB
Maintain line of sight across HUB priorities, ensuring alignment, sequencing, and timely execution of key activities
Calendar, Meetings & Coordination
Lead complex calendar management, ensuring optimization of executive time across global stakeholders
Coordinate internal and external meetings, including senior leadership engagement and cross-functional forums
Manage travel logistics and expense reporting with accuracy and timeliness
Operational Excellence & Project Management
Drive execution of administrative and operational plans that enable HUB performance
Track milestones, identify risks, and ensure issues are proactively managed and resolved
Support delivery of key initiatives across the HUB, ensuring deadlines and dependencies are met
Financial & Vendor Management
Partner with finance to monitor HUB budget, including purchase orders, T&E, and vendor contracts
Provide regular reporting on spending to inform planning and decision-making
Coordinate with external agencies and vendors to ensure seamless execution
Engagement & Team Operations
Plan and execute key HUB engagements, including team meetings, leadership sessions, and offsite events
Support ad hoc requests and special projects aligned to HUB priorities
Contribute to a high-performing, connected team environment
Quality & Communication Support
Provide proofreading and editing support to ensure high-quality deliverables
Maintain professionalism and discretion when handling confidential materials
Qualifications:
High school diploma required; bachelor's degree in Business Administration, Communications, or a related field preferred.
Minimum of 5 years of administrative, project management, or coordination experience required; at least 3 years supporting senior leaders in complex, global, or matrixed environments is preferred.
SKILLS
Demonstrate excellence in managing complex executive schedules and competing priorities
Be highly proficient with enterprise systems (e.g., MS Office, Teams, Zoom, Concur, Ariba, SharePoint)
Exhibit strong judgement, problem-solving ability, and proactive anticipation of leadership needs
Operate with discretion and integrity when managing sensitive and confidential information
Manage multiple concurrent workstreams with urgency, flexibility, and attention to detail

The anticipated base pay range for this position is :
$52,500.00 - $84,525.00
Additional Description for Pay Transparency:
Subject to the terms of their respective plans, employees are eligible to participate in the Company's consolidated retirement plan (pension) and savings plan (401(k)).
Subject to the terms of their respective policies and date of hire, employees are eligible for the following time off benefits:
Vacation -120 hours per calendar year
Sick time - 40 hours per calendar year; for employees who reside in the State of Colorado -48 hours per calendar year; for employees who reside in the State of Washington -56 hours per calendar year
Holiday pay, including Floating Holidays -13 days per calendar year
Work, Personal and Family Time - up to 40 hours per calendar year
Parental Leave - 480 hours within one year of the birth/adoption/foster care of a child
Bereavement Leave - 240 hours for an immediate family member: 40 hours for an extended family member per calendar year
Caregiver Leave - 80 hours in a 52-week rolling period10 days
