We are looking for a dependable Office Assistant to support daily workplace operations in Morris Plains, New Jersey. This Long-term Contract position is ideal for someone who enjoys creating an organized, welcoming office environment while providing administrative assistance to leadership and staff. The role combines front-desk coordination, meeting support, travel and expense administration, and upkeep of shared office spaces to help the office run smoothly each day.

Responsibilities:

Welcome visitors, oversee front-desk activity, and coordinate guest access needs such as parking arrangements.

Maintain inventory of office materials and common-area supplies, and place orders to keep essential items available.

Support the planning and execution of onsite and offsite meetings, including room preparation, catering coordination, and general event readiness.

Provide administrative assistance to senior leaders by handling scheduling support, document processing, and other day-to-day office tasks.

Arrange executive travel plans and prepare related documentation to ensure smooth business trips.

Process and submit expense documentation accurately and in a timely manner.

Create and follow up on facility service requests for issues such as heating, cooling, or other office maintenance concerns.

Keep kitchen, coffee, and refrigerator areas organized, stocked, and clean, including post-meal cleanup and coordination of leftover food donations when appropriate.

Set up meeting rooms with the materials and layout needed for internal discussions and hosted gatherings.

Requirements - Prior experience in an office support, receptionist, or administrative coordination role.

Ability to manage inbound calls, greet visitors courteously, and handle front-desk responsibilities with confidence.

Strong clerical skills, including document handling, scanning, filing, and general administrative support.

Comfortable coordinating lunch orders, office supplies, and other workplace service needs with attention to detail.

Proven ability to stay organized while supporting multiple requests from staff and senior leadership.

Clear communication skills and a customer-focused approach when working with employees, visitors, and vendors.

Ability to maintain shared spaces in a neat and well-organized condition and assist with meeting room setup as needed. TalentMatch®
