Description We are looking for an Administrative Assistant to support daily commercial and operational activities in Missouri City, Texas. This Long-term Contract position will focus on producing accurate customer quotes, maintaining organized documentation, and helping information move efficiently between customers, internal teams, and logistics partners. The ideal candidate is detail-oriented, comfortable working with spreadsheets, and able to manage multiple priorities while maintaining a high standard of accuracy and professionalism.

Responsibilities:

Create and revise customer quotations promptly, ensuring pricing details, product information, and terms are accurate before release.

Maintain well-structured records for pricing data, specifications, and commercial documents so information remains current and easy to retrieve.

Track all quotation activity in an organized manner to support visibility, follow-up, and compliance with company pricing guidelines.

Act as a central point of coordination among U.S. representatives, customers, and warehouse personnel to keep orders and related updates moving smoothly.

Review packing lists, shipment contents, and handling instructions to confirm orders are prepared correctly and meet customer requirements.

Arrange repacking, consolidation, and other special shipment requests when operational needs require adjustments.

Check purchase orders, invoices, and shipping paperwork for completeness and accuracy, resolving discrepancies as needed.

Update operational spreadsheets and reporting files in Excel or Google Sheets to provide clear visibility into current activity and status.

Prepare regular summaries and status updates for management while maintaining timely communication with suppliers, freight partners, and customers. Requirements - Previous experience in an administrative, operations support, quotations, or customer service role.

Proficiency with Microsoft Office, including strong working knowledge of Excel formulas and spreadsheet-based reporting.

Ability to manage documentation carefully with a high level of accuracy and attention to detail.

Experience reviewing commercial or logistics-related documents such as purchase orders, invoices, packing lists, or shipment records.

Strong written and verbal communication skills for working with internal teams, customers, suppliers, and transportation partners.

Ability to organize multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.

Familiarity with sales analysis, reporting, costing, or pricing support is preferred. TalentMatch®
