Job Description

Job Purpose:

The Administrative Assistant is responsible for facilitating the overall needs of the front office and the clerical needs of the management staff. The role plays a critical part in keeping the daily office operations in order and completed as priorities mandate.

Duties:

[ ]{times="" new="" roman",="" times,="" serif"=""}Responsible for all front office duties including greeting and directing visitors and answering phones, mail, and badges;

[ ]{times="" new="" roman",="" times,="" serif"=""}Acts as the first seen and/or heard representative of the company;

[ ]{times="" new="" roman",="" times,="" serif"=""}Assist with travel plans and expense reports for management as needed;

[ ]{times="" new="" roman",="" times,="" serif"=""}Prepare administrative reports as requested;

[ ]{times="" new="" roman",="" times,="" serif"=""}Monitor and maintain office supplies inventory as well as ink/toner needs;

[ ]{times="" new="" roman",="" times,="" serif"=""}Coordinate internal IT needs with third party vendors;

[ ]{times="" new="" roman",="" times,="" serif"=""}Assist with site security;

[ ]{times="" new="" roman",="" times,="" serif"=""}Oversee NDA's and Working/Distributor Agreements, to ensure there is one on file for all, assist with making new ones, monitor expiration dates for existing ones, and keeping track of all both electronically and physically;

[ ]{times="" new="" roman",="" times,="" serif"=""}Ensure filing systems are maintained and current;

[ ]{times="" new="" roman",="" times,="" serif"=""}Take meeting minutes when required;

[ ]{times="" new="" roman",="" times,="" serif"=""}Oversee Housekeeping, Snow Removal, and Lawn Care;

[ ]{times="" new="" roman",="" times,="" serif"=""}Promotes a safe, secure, and positive work environment;

[ ]{times="" new="" roman",="" times,="" serif"=""}All other duties as requested by management.
