Experience and Education: Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; or Education. One year above high school; or Experience/Education Combination. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. 3. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs. 5. Advanced knowledge of managing or leading patient support staff in a clinic. Supervisory MSAs at this level plan and direct programs at medical centers and/or satellite outpatient clinics. They have full responsibility for supervising at least one subordinate MSA team leader, supervisor, or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting. Assignments at this level include, but are not limited to: evaluating the work of subordinate staff; resolving complex problems to ensure patient services are met; evaluating new products, equipment, and systems to make recommendations for improved operations; identifying educational or training needs; making final decisions on hiring selections; evaluating performance, and taking disciplinary action when necessary. The employee has administrative and professional responsibility for planning and directing the subordinate lead, supervisor, and MSA's activities. Responsible for extracting and analyzing data to provide reports to senior management in support of tracking measures.] For all assignments above the full performance level, the higher-level duties must consist of significant scope, administrative independence, complexity (difficulty) and range of variety as described in this standard at the specified grade level and be performed by the incumbent at least 25% of the time. Preferred Experience: Experience supervising and leading Medical Support Assistants; (MSAs) or administrative staff in a healthcare setting, preferably within radiology or imaging services; Demonstrated knowledge of scheduling across multiple radiology modalities (e.g., X-ray, MRI, CT, Ultrasound, Nuclear Medicine, lnterventional Radiology, Mammography); Proven knowledge of radiology orders management processes and familiarity with standards of imaging protocoling across multiple modalities; Proven ability to manage clinic flow, workload distribution, and staffing coverage to ensure efficient patient throughput; Experience training, mentoring, and evaluating MSA staff, including onboarding new employees and conducting performance reviews; Strong understanding of healthcare administrative processes, including order management, appointment scheduling; Experience using electronic health record systems (e.g., CPRSVistA, OTM or similar platforms) for scheduling, documentation, and order management; Ability to analyze workflow processes and implement improvements to enhance efficiency, access, and customer service; Experience coordinating with clinical staff (radiologists, technologists, nurses) to ensure timely and accurate patient care delivery; Demonstrated ability to resolve patient concerns, staff conflicts, and scheduling issues in a professional and timely manner; Knowledge of VA policies, directives, and scheduling guidelines related to access to care and radiology services (preferred for VA positions); Experience managing timekeeping, leave requests, payroll coordination, and administrative oversight functions; Ability to work in a fast-paced, high-volume environment while prioritizing multiple tasks and meeting deadlines; Strong communication skills, with the ability to effectively interact with patients, staff, and leadership both verbally and in writing; Experience monitoring performance metrics and productivity standards, and implementing corrective actions when needed.
