Summary This position is in the Transportation Department of the Facility Management Service in the Martinsburg VAMC, Martinsburg, WV. The Transportation Department provides vehicle and transport services in support of a variety of customer programs and medical center services within a large geographical area that includes three (3) states and Washington, D.C. Responsibilities The primary purpose of this position is to manage all transportation requests and the day-to-day operations of a vehicle fleet center with sixteen (16) drivers and ninety (90) vehicles, including subcompact sedans, station wagons, heavy trucks, buses, para-transit vehicles, and a variety of special purpose vehicles. The incumbent of this position also serves as a back-up driver as needed (roughly five days per month). Duties may include but are not limited to; Distributing and balancing workload tasks among employees in accordance with workflow requirements, assuring timely accomplishment of the assigned tasks or projects. Performs a full range of motor vehicle dispatching and associated clerical work for the office. Plans, coordinates, supports, and dispatches motor vehicles to transport patients, food, supplies, laundry, equipment, and staff. Ensures vehicles are operational, clean, and current with all safety, legal, and maintenance requirements. Manages all keys for the motor vehicle fleet, including accountability, physical security, issue and receipt, and all key-related issues. Maintains dispatch, maintenance, driver, equipment, and supply records. Ensures proper vehicle and equipment maintenance records are kept. Ensures drivers complete and submit daily trip reports. Advises drivers and assists them with completion and maintenance of required records. Receives and coordinates vehicle need requests from employees, ensuring vehicles are reserved accordingly. Receives transportation requests for Veteran patients from the beneficiary travel office. Tracks and reviews requests for special requirements, determines driver and vehicle requirements, plans routes and assignments, manages daily dispatch schedule. Assigns drivers and vehicles to requests. Distributes and balances workload tasks among employees in accordance with workflow requirements. Provides expert advice on specific requests and makes available written instructions, reference materials, and relevant background materials. Provides detailed geographical directions and driving instructions to drivers and maintains cellular phone contact with drivers to help ensure patient and driver safety. Coordinates emergency service/roadside assistance for disabled vehicles. Tracks maintenance schedules and requirements. Troubleshoots minor issues such as lamps, flat tires, tire pressure and fluid levels and schedules preventive maintenance and repairs, keeping supervisor informed of these repairs. Reports and schedules repairs when outside service is necessary. Coordinates the cleaning of all vehicles. Coordinates customer service requirements and serves as liaison to ensure needs are met. Orders office supplies for the transportation dispatch office. Teaches new employees how to use the electronic T&A functions for leave requests and related functions. Assists employees with T&A admin concerns. Back up driver as needed (Approx. 5 days a month). Transports patients under non-emergency situations to and from various locations throughout the state, ensuring patient safety.
