Job Title: Administrative Assistant / Production Clerk
Job Description
This role provides critical administrative and production support by monitoring and controlling production-related activities, maintaining accurate inventory and shipment records, and preparing detailed reports. The Administrative Assistant / Production Clerk also supports Title V reporting, assists with HR-related administrative tasks, and coordinates with multiple departments to ensure smooth warehouse and office operations. This position is ideal for a detail-oriented professional who enjoys working with data, Excel, and cross-functional teams in a fast-paced production environment.
Responsibilities
Monitor and control production-related activities, including daily inventory, trucking shipments, appointment scheduling, and product control level reporting.
Report to the Site Director and follow directions to ensure alignment with operational and reporting requirements.
Complete and maintain weekly reports, using Microsoft Excel to compile, analyze, and present data accurately.
Keep management personnel informed of warehouse operations through clear verbal and written communication.
Complete all paperwork neatly and correctly, and maintain organized filing systems for easy retrieval.
Compile and track data from the daily Production History Report to support operational visibility and decision-making.
Prepare and compile reports for butter and powder production as needed by management.
Maintain a running record of production on designated dryers, including Damrow and Walker dryers, and ensure data accuracy.
Enter emissions data into the Title V database program and prepare monthly Title V data for review by the Site Director.
Create purchase orders for new footwear requests and manage on-site inventory of shoes and overshoes.
Assist with ordering supplies and packaging materials to support uninterrupted production and warehouse operations.
Coordinate and communicate with outside vendors to support purchasing, supplies, and related services.
Provide administrative and support services to other departments, including Human Resources, Maintenance, Quality Assurance, Safety, and Warehouse, as needed.
Follow all safety and working rules and promote safe work practices in daily activities.
Maintain positive working relationships with co-workers, management personnel, customers, vendors, and employees to support a harmonious work environment.
Maintain a positive attitude and contribute to a quality-focused, collaborative environment.
Demonstrate excellent regular full-time attendance in support of operational and company objectives.
Track employee attendance and maintain accurate attendance records in coordination with supervisors.
Review and audit employee timecards for accuracy and compliance with established policies.
Issue attendance-related memos and documentation as needed, following established procedures.
Support supervisors with basic HR-related administrative tasks, including documentation and communication.
Assist with maintaining personnel records and documentation in an organized and confidential manner.
Essential Skills
Proficiency with computers and strong comfort working in a digital environment.
Strong Microsoft Excel skills, including data entry, report creation, and data tracking.
Experience with general administrative support, including filing, clerical tasks, and order entry.
Ability to perform accurate data entry and maintain detailed production, inventory, and attendance records.
Proficiency with Microsoft Office, including Outlook and other common office applications.
Ability to communicate clearly and professionally in both verbal and written form.
Strong organizational skills with the ability to manage multiple tasks, reports, and deadlines.
Ability to work effectively with co-workers, management, vendors, and other departments in a professional manner.
Reliability and commitment to excellent regular full-time attendance.
Additional Skills & Qualifications
Experience in an administrative or clerical role supporting production, warehouse, or manufacturing operations.
Familiarity with inventory tracking and control processes.
Experience working with HR-related administrative tasks such as timecard review, attendance tracking, and personnel documentation.
Comfort working with database programs and entering structured data, including emissions or compliance-related information.
Strong attention to detail and accuracy when handling numerical and production data.
Ability to adapt to changing priorities and support multiple departments as needed.

Work Environment
This position operates in an office environment within a production and warehouse setting, with core hours of Monday through Friday, 8:00 a.m. to 4:30 p.m. Start times can be flexible if agreed upon in advance. The role is primarily office-based, with significant time spent working at a computer and performing administrative tasks while seated at the front office. The dress code is business casual, with jeans permitted on Fridays.
The position is structured as a long-term contract role, anticipated to last approximately 6 to 12 months. Pay and Benefits
The pay range for this position is $21.00 - $21.00/hr.
