Job Title: AP Accountant
Job Description
This role serves as the primary liaison between the marketing and accounting/finance teams, managing a complex marketing budget that spans more than 25 channels and vendors. The accountant oversees end-to-end accounts payable activities for marketing, including invoice processing, reconciliations, accruals, and variance analysis, while ensuring accurate and timely reporting to leadership. The position also leads the administration and optimization of the marketing budget software, supports marketing analytics initiatives, and provides flexible support for evolving business needs in a dynamic corporate environment.
Responsibilities
Act as the primary point of contact between marketing and accounting/finance for the marketing budget across 25+ channels and vendors.
Process and reconcile media invoices accurately and on time, collaborating with internal teams to ensure spend aligns with forecasts.
Manage monthly, quarterly, and year-end accruals and variance analysis in partnership with approximately 10 marketing team stakeholders.
Prepare and deliver regular budget and spend reports to marketing leadership, accounting, and finance.
Serve as the primary contact for all vendor-related billing needs across all marketing channels, including new vendor setup, payment status inquiries, and tax exemption documentation.
Coordinate the receipt, tracking, and funding of co-op and marketing development funds (MDF) between marketing, merchandising, and accounts payable, ensuring proper holds and allocations are managed.
Lead and administer the marketing budget software (Oracle Fusion Cloud), acting as the primary owner for configuration and ongoing support.
Oversee software-related activities including annual updates, issue tickets, and resolution of software-related problems.
Manage all data within the marketing budget system, including creation and maintenance of custom views, budget structures, invoicing data, and reporting outputs.
Gather and document software requirements, perform user acceptance testing, and serve as a subject matter expert on new features and functionality.
Maintain organized and comprehensive tracking of media budgets, actual expenditures, and billing documentation.
Assist in collecting spend and business data for the organization's bi-annual marketing mix model (MMM), including upkeep of the associated data dictionary.
Support evolving business needs by taking on additional responsibilities and projects as assigned.
Collaborate effectively with cross-functional partners in finance, marketing, merchandising, and other departments to ensure smooth budget and billing operations.
Essential Skills
3-5 years of experience in budget coordination, accounts payable, or related financial fields.
Strong proficiency in Excel for invoice tracking, budget reporting, and financial analysis.
Experience in accounts payable processes, including invoice processing, reconciliation, and vendor billing.
Demonstrated ability to manage complex budgets across multiple channels and vendors.
Strong organizational and time management skills with exceptional attention to detail.
Proven ability to manage multiple projects simultaneously in a deadline-driven environment.
Ability to interface effectively and professionally with all levels of management.
Comfort working as a primary point of contact between departments, particularly finance and marketing.
Additional Skills & Qualifications
Hands-on experience with Oracle Fusion Cloud is highly desirable.
Experience with Essbase and SmartView is a plus.
Background in retail store-based marketing is a plus.
Experience in advertising and/or marketing, particularly in finance and budget project coordination, is a plus.
Experience working in multi-brand environments is a plus.
Demonstrated ability to adapt to evolving team and business needs and take on additional responsibilities as required.
Work Environment
This position is based at a corporate headquarters and supports both the finance and marketing departments in a collaborative office setting. The role involves regular interaction with cross-functional stakeholders, including marketing, merchandising, accounting, and finance teams. Work is primarily performed using financial and budgeting tools such as Oracle Fusion Cloud, Excel, and related reporting systems. The environment is deadline-driven and project-oriented, with an emphasis on accuracy, organization, and clear communication.

Pay and Benefits
The pay range for this position is $28.00 - $33.65/hr.
