Description

A fast-paced organization in the San Diego area is seeking an experienced Executive Administrative Assistant to support senior leadership with high-level administrative, scheduling, and operational coordination. This role is ideal for someone who thrives in a highly organized, detail-driven environment and can anticipate needs before they arise. The Executive Administrative Assistant will act as a key partner to executives, ensuring smooth day-to-day operations, managing priorities, and maintaining confidentiality across sensitive business matters.

ESSENTIAL DUTIES & RESPONSIBILITIES

Executive Support

Manage complex executive calendars, scheduling meetings, and coordinating priorities

Arrange domestic and international travel, including itineraries and expense reporting

Prepare meeting agendas, presentations, and follow-up documentation

Serve as a liaison between executives and internal/external stakeholders

Handle confidential information with discretion and professionalism

Administrative & Operational Support

Support daily administrative operations for leadership team

Draft correspondence, reports, and executive communications

Coordinate meetings, board materials, and leadership events

Track deadlines, action items, and project deliverables

Assist with special projects and strategic initiatives

Requirements

REQUIRED KNOWLEDGE, SKILLS & ABILITIES

Exceptional organizational and time management skills

Strong written and verbal communication skills

Ability to anticipate needs and work proactively

High level of professionalism and discretion

Ability to manage multiple priorities in a fast-paced environment

Strong problem-solving and decision-making abilities

Education & Experience

4+ years of executive administrative or high-level administrative experience required

Experience supporting C-level executives strongly preferred

Systems & Software

Advanced Microsoft Office Suite skills (Outlook, Word, Excel, PowerPoint) required

Experience with calendar management and scheduling tools preferred

WORK ENVIRONMENT

Hybrid office environment
