SUMMARY:
The Administrative Assistant provides daily office support in the stewardship and cultivation of donors and prospects. The Administrative Assistant will perform routine office duties, including maintaining files, supporting travels, and coordinating schedules/calendars. Ensures office activities comply with the Carter Center's policies and procedures.
Position supports the work of the Leadership Gifts International (75%) and the Estate & Gift Planning (25%) Development teams, and reports to the Senior Associate Director, for Leadership Gifts International and works closely with the Associate Director of Estate and Gift Planning.
KEY RESPONSIBILITIES:
Reviews incoming correspondence and the weekly gift report, identifies items of interest to both teams, and prepares appropriate responses.
Reviews outgoing material for consistency and conformance with policies and procedures. Manages internal memo process.
Ensures correspondence is recorded in Raiser's Edge (donor tracking) database. Organizes and maintains donor/prospective donor records. Coordinates as necessary with Development Services and Individual Giving Unit's Associate Director.
Supports event invitations with mailing lists. Prepares and mails outgoing correspondence and information. May prepare and coordinate mass mailings and e-newsletter.
Maintains calendars for the teams and ensures appropriate preparation for daily activities. Coordinates team calendars with the Individual Giving Unit and the "All Development" calendars. Assists with coordination, attends, and may take minutes at meetings.
May assist in coordinating on-site meetings by donors and dignitaries with Carter Center Leadership and Gift Officers.
Coordinates Gift Officer travel, to include airline, lodging and transportation, expenses, and trip files. May assist with travel reimbursement requests. May contact donors and prospects related to gift officer travel and meetings.
Implements and maintains office procedures for file sharing and record keeping.
Assists in the preparation and completion of special projects with direction.
Trains and directs work of volunteers, as needed. May train and supervise or assist with temporary administrative employees and interns.
Ensures compliance with organizational policies and procedures; implements efficient administrative practices to support program goals.
Pursues ongoing professional development to maintain knowledge of national trends and best practices.
May supervise or direct the work of support staff and/or students.
Performs related responsibilities as required.
MINIMUM QUALIFICATIONS:
Bachelors degree or equivalency of a high school diploma and five years of administrative experience.
Proficiency with Microsoft Office including Outlook, PowerPoint, and Excel.
Experience with collaborations tools (OneDrive, Zoom, Teams, and/or others).
PREFERRED QUALIFICATIONS:
Previous experience in a nonprofit and/or fundraising office is a plus. Ability to work in fast-paced, high-profile environment is required.
Experience in supporting multiple principles is necessary.
Previous experience with various personal computer software applications, in particular, a good working knowledge of the Raiser's Edge software, SharePoint, and Microsoft Office.
Excellent interpersonal skills and ability to interact with a large and diverse group of people is required.
Good writing and editing abilities, attention to detail and computer skills are also required.
NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to The Carter Center on a flexible weekly schedule based upon business needs. ?Schedule is based on agreed upon guidelines.? All non-exempt employees must reside within the state of Georgia.
