Job Title: High School Activities Secretary
Reports to: Activities Director
Basic Function:
To serve as the first point of contact for students, families, staff, and visitors, creating a welcoming and professional front office environment. This role provides administrative support to the principals/activities director and staff, manages daily office operations, and ensures effective communication between the school and families.
Essential Functions:
Assist the high school Activities Director in day-to-day activities.
Serve as receptionist for the Activities Director, Principal, and Associate Principal, performing duties delegated by any of them.
Will use Bound to Maintain accurate records for student participation, eligibility, physicals, and required forms.
Process purchase orders, invoices, deposits, and activity-related financial records.
Answers telephone, handles routine inquiries; refers calls when needed.
Work with the Activities Director in maintaining the activities budget and individual program budgets.
Assist with event management, including facility scheduling, ticketing, workers, and hospitality arrangements.
Will identify students who are recognized by the IGHSAU, IHSAA etc. and prepare certificates to note this accomplishment.
Work with the business office, using district-established accounting procedures (InTouch) to ensure all bills being paid within the activities department.
Manage the touch pay system and on-online payment pages.
Facilitate special events like senior night procedures, youth camp registrations, etc.
Make deposits in accordance within the district/state guidelines.
Hold responsibility for acquiring ticket takers and other positions to run our activity events.
Responsible for organizing, identifying and recognizing three and four sport athletes.
Maintain a positive attitude with students, staff, parents, and visitors.
Coordinate travel arrangements and transportation for teams and student groups.
Manage inventory and ordering of supplies, awards, and activity materials.
Provide excellent customer service while handling multiple priorities in a fast-paced environment.
Specifications/Qualifications:
Education & Experience:
Previous clerical experience preferred
Certificates as requested in Bloodborne Pathogens, Mandatory Reporter, Child Abuse training, CPR
Background Check required before hiring

The noise level in the work environment can vary based on activities taking place. The position requires the commitment of professional working hours that may require the employee to extend beyond a typical eight hour workday. The employee will frequently work in different areas of the classroom including in/at desks, on or near the floor, standing, in movement while supervising indoor and outdoor activities, etc. The employee will usually work in indoor temperatures but will work outdoors when supervising students outside of the classroom.
