Summary
Join us at Iowa State University! The Office of the President is seeking an Administrative Assistant II to serve as a key front-facing member of our team. This role will provide a welcoming, professional, and responsive experience for visitors, campus partners, and external stakeholders, while helping to support the work of the 17th President of Iowa State University. The Administrative Assistant II will manage front desk responsibilities, coordinate logistics, handle inbound communications, and serve as a liaison with internal offices and external partners.
We are seeking a collaborative, organized, and resourceful professional who takes a hands-on approach to administrative support and thrives in a fast-paced environment. The ideal candidate will demonstrate strong customer service instincts, sound judgment, excellent communication and scheduling skills, and the ability to manage multiple priorities while maintaining confidentiality.

Responsibilities:
Assist with coordinating scheduling, visits, and logistics for members of the president's office as directed
Provide front-office reception, customer service, and inquiry management
Manage office operations, including facilities, supplies, and technology coordination
Prepare and process outgoing correspondence for the President's Office Staff
Provide logistical support during meetings, tours, and visits
Maintain office databases, lists, and supervise student employees
Support planning and execution of presidential and spousal events
Assist with event advance work, including logistics, schedules, and briefing materials
Provide backup support to event coordination staff as needed
Preferred Qualifications:
Experience in a professional front desk role
Experience coordinating events, meetings, or other high-visibility engagements
Experience supporting administrative, financial, and/or operational processes requiring a high level of confidentiality, organizational skills, and attention to detail
Familiarity with higher education environments or public-sector organizations
Familiarity with document management and records retention protocols
Associate's degree in a business-related field
