Minnesota Management and Budget (MMB) is seeking a detail-oriented and customer-focused Vendor Support Specialist to help state partners understand and navigate the payment processes and the Statewide Integrated Financial Tools (SWIFT) system. This is a technical and analytical position that is exposed to back-end accounting and finance records, helping ensure accuracy and prevent fraud. The role has a large focus on providing customer support in a call center environment and providing effective and efficient service.
This is a benefits-eligible temporary position anticipated to last one year.
Job duties for this position include:
Assisting individuals with registration in the SWIFT supplier portal
Reviewing vendor communications to ensure that information related to electronic payments and banking changes are complete and accurate
Fighting fraud by verifying payment methods and eligibility
Monitoring the payment process for discrepancies and fraudulent activity
Approving (or denying) additions and changes to vendor payment information in SWIFT
Answering calls and emails to assist suppliers and troubleshooting vendor issues
Telework (https://mn.gov/mmb-stat/policies/1422-telework.pdf) options for this position are dependent on where the employee lives. Employees that live in Minnesota or a bordering state may telework up to 100%, except for instances where the employee may have to be on-site for occasional mandatory meetings or events.
Minimum Qualifications

Two years of experience providing administrative or customer service support duties for a financial system, organization, or program, such as inputting and accessing data into accounting systems, approving and preparing payment information, or processing expenses.
Experience must include:
Knowledge of financial processes and systems sufficient to review supplier registrations, verify vendor data, and approve additions or changes within the vendor profile
Writing and communication skills sufficient to provide clear instructions, explain denied registrations, resolve questions with vendors and agencies, and document or convey issues
Customer service skills sufficient to respond to inquiries, resolve account and payment issues, assist vendors with the portal, and provide timely, professional, and courteous support
Data entry and analysis skills sufficient to review W-9 forms, verify tax IDs with the IRS, identify duplicate vendor accounts, and ensure accuracy and integrity of the vendor account
Problem solving and troubleshooting skills sufficient to research system issues, resolve vendor payment or banking discrepancies, and guide agencies in correcting account errors
Demonstrated respect for diversity and a deep commitment to fostering an inclusive and collaborative work environment.
A bachelor's degree in accounting, finance, business administration, or management information systems (MIS) may substitute for one (1) year of experience.

Experience with SWIFT and State of Minnesota purchasing processes
Experience performing accounting or finance functions in public service (municipal, county, state, federal, or Tribal)
Experience reviewing, verifying, and maintaining vendor or customer account information in a government, financial, or accounting environment
Experience interpreting tax identification requirements or other statutory authorities
Proficiency with Microsoft Office tools, such as Excel, Word, Outlook, etc.
A bachelor's degree in accounting, finance, business administration, or MIS
