The Registrar serves as the chief administrative officer responsible for the integrity, accuracy, security, and maintenance of all student academic records and related processes for SUNY Delhi. Reporting to the Provost and Vice President of Academic Affairs, the Registrar provides strategic leadership and operational oversight for the Office of the Registrar and ensures compliance with institutional, SUNY, state, and federal policies and regulations.
The Registrar is responsible for the administration of student registration, academic records, degree audit and certification, course scheduling, transfer credit processing, academic policy implementation, and institutional reporting functions. The position also provides leadership and oversight for academic recordkeeping and compliance associated with apprenticeship programs, workforce credentials, and concurrent enrollment/college in the high school partnerships.
This position works collaboratively across Academic Affairs, Enrollment Management, Student Affairs, Institutional Research, Information Technology, and external partners to support student success, operational efficiencies, and regulatory compliance.
Essential Duties and Responsibilities
Registrar Operations and Academic Records
Provide strategic leadership and day-to-day management of the Office of the Registrar.
Ensure the accuracy, confidentiality, integrity, and security of all student academic records in accordance with FERPA, SUNY policy, and applicable state and federal regulations.
Oversee all functions related to:
registration and enrollment processing
add/drop and withdrawal procedures
grading and grade changes
transcript production
degree conferral and graduation certification
academic standing and honors processing
transfer credit articulation and posting
academic calendar implementation
final examination scheduling
Manage the development, publication, and maintenance of the master course schedule and academic calendar in collaboration with academic departments and deans.
Provide leadership in the administration, optimization, and functional use of Ellucian Banner, DegreeWorks, and related student information systems
Ensure accurate coding, auditing, and reporting for federal, state, and SUNY system reporting, as well as institutional and programmatic accreditation.
Academic Policy and Compliance?
Interpret, implement, and communicate academic policies, procedures, and curricular changes approved through shared governance and SUNY processes.
Serve as the institutional subject matter expert on academic regulations, registration policies, credit limits, residency requirements, and degree certification standards.
Maintain official curriculum and catalog records in collaboration with Academic Affairs leadership.
Ensure compliance with Middle States Commission on Higher Education standards, SUNY policies, and New York State Education Department requirements.
Training, Education, and Campus Support
Develop, coordinate, and deliver ongoing training and professional development for faculty, staff, and students related to Registrar's Office policies, procedures, systems, and academic regulations.
Provide training on topics including:
registration and enrollment procedures
grading policies and deadlines
course scheduling and final examination processes
FERPA compliance and confidentiality of student records
degree requirements and graduation certification
transfer credit and prior learning assessment procedures
apprenticeship and concurrent enrollment recordkeeping
Create and maintain written guides, policy manuals, reference materials, and process documentation.
Serve as a campus resource for policy interpretation, procedural guidance, and student records questions.
Concurrent Enrollment and Workforce Pathways
Provide administrative oversight for concurrent enrollment/college in the high school partnerships with school districts, BOCES centers, and regional educational partners.
Ensure student registration, grading, transcripting, and academic recordkeeping processes comply with SUNY and accreditation standards.
Provide oversight for student records and compliance associated with apprenticeship programs, workforce development initiatives, and microcredential pathways.
Collaborate with academic departments, workforce development leadership, and external partners to support transcripted learning pathways and non-credit to credit opportunities.
Leadership and Collaboration
Supervise Registrar's Office professional and support staff, including hiring, training, evaluation, and professional development.
Foster a culture of student-centered service, responsiveness, and operational excellence.
Serve on institutional committees and workgroups related to academic operations, student success, Academic Momentum, and institutional effectiveness.
Collaborate with deans, program directors, faculty, advisement, OneStop, Institutional Research, and Information Technology.
Job Requirements:
Required Qualifications
Bachelor's degree from an accredited institution in higher education administration, educational leadership, business administration, public administration, or a closely related field.
Minimum of five (5) years of progressively responsible professional experience in registrar services, academic administration, enrollment management, or student records operations within higher education.
Demonstrated knowledge of:
academic records management
registration and scheduling processes
FERPA compliance
degree audit and graduation certification
academic policy interpretation and implementation
Experience working with Ellucian Banner, DegreeWorks, or comparable student information systems.
Demonstrated ability to provide training and guidance for faculty, staff, and students.
Supervisory experience.
Strong communication, organizational, and interpersonal skills.
Preferred Qualifications
Master's degree in a related field.
Experience within the State University of New York system.
Direct leadership experience in a Registrar's Office.
Experience with concurrent enrollment, apprenticeship programs, workforce development, and credit for prior learning/prior learning assessment credit processes.
Familiarity with Middle States accreditation standards.
Experience supporting student success initiatives, including Academic Momentum and retention strategies.
