Job Title: Administrative Assistant

Job Description

We are seeking a detail-oriented and proactive Administrative Assistant who thrives on keeping operations running smoothly. This role is perfect for someone organized, communicative, and adept at managing a variety of tasks throughout the day. A significant aspect of this position is procurement-ordering products from a defined vendor list while ensuring accuracy and creating cost savings.

Responsibilities

Manage procurement by ordering products for customer projects from an established vendor list.

Ensure all orders are accurate, complete, and processed on time.

Create and process bills for Accounts Payable in QuickBooks.

Answer and direct phone calls with professionalism and excellent customer service.

Perform accurate data entry and maintain organized digital and physical records.

Assist with receiving shipments, verifying order accuracy, and organizing incoming products.

Maintain digital filing systems and support occasional physical filing.

Update and manage spreadsheets to track project details and office needs.

Monitor office supply inventory, place orders, and occasionally run local errands.

Support the Office Manager and leadership team with various administrative tasks.

Handle general office duties with a positive, solutions-focused attitude.

Essential Skills

2+ years of administrative assistant experience.

0-2+ years of experience with procurement.

Familiarity with creating and processing bills in QuickBooks.

Proficiency in QuickBooks and Excel.

Customer service skills.

Additional Skills & Qualifications

Strong organizational and communication skills.

High attention to detail and accuracy.

Ability to multitask and adapt to shifting priorities.

Job Type & Location

This is a Contract to Hire position based out of Spokane Valley, WA.

Pay and Benefits

The pay range for this position is $20.00 - $22.00/hr.

Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
