Description
Administration
· Support ECA Branch Service Operation to ensure profitability
· Monitor service work flow and status to ensure work is performed with company goals in mind
· Ensure compliance of corporate policies
· Maintain the highest level of customer satisfaction
· Maintain the highest level of employee engagement
· Assist with schedule training needed for service employees
· Coordinates Training and Travel arrangements for Shop Employees, Customers and Visitors
· Recommends plans to motivate workers to achieve work goals
Operations/Supervisory
· Utilize all ECA systems such as: ebs, Foresight, Modern, Pedigree, Fleet Intel
· Help monitor, create, and manage Work Orders
· See Work Order Procedures
· Prepares Work Orders and puts them in $$ for Service Manager
· Charges misc. items and expenses to work orders as needed
· Maintain work order closing to ensure invoicing occurs within 15 days of last labor activity on each job.
· Monitor all accounts, checking for accuracy, completeness and timely processing.
· Monitor all warranty work for proper administration of claims
· Ensure all warranty and policy decisions are mutually fair to the customer, dealer and manufacturer
· Aids in daily/weekly dispatch and job schedules for service employees
· Ensures daily tasks are completed. Time sheets, work order documentation
· Monitor and apply shop employee travel expenses to work orders
· Travel required
Equipment/Facilities
· Manage and monitors maintenance schedules of equipment
· Manage and maintain on/off hire inspection reports. Responsible for final inspection approval on inbound/outbound equipment.
· Works with Service Manager and adjusts work procedures and schedules to meet requirements
· Implements changes in working conditions and use of equipment to increase the safety and efficiency of shop employees
· Implements measures to improve production methods, equipment performance and overall quality
· Maintains employee time and production records
· Maintains maintenance records of shop and rental equipment
· Ensures the office, shop, vehicles, tools and other company property are properly maintained within the guidelines set forth by the individual branch.

Safety
· Enforce safety program
o Service Administrator will be responsible for maintaining regular safety meeting notes and updates
§ *To be held weekly or biweekly
§ Upload documentation to the Server
· Maintain appropriate and required training and safety certifications and documentation for shop employees and equipment
· Ensures that all employees have and use proper Personal Protective Equipment
· Maintains up to date SDS for the branch.
· Required to participate in all safety related activities/meetings
· Maintains required safety inspections/certifications for shop equipment. Example; yard crane, overhead crane, forklift etc.
Customer Relations
The Branch Service Administrator will serve as a liaison between our customers, and internal parts, service and sales departments for all service needs
· Maintains direct customer contact
· Gathers as much information as possible for technicians going into the field
· Communicate with customers about returned rental equipment.
o Provide off hire reports and repair estimates in a timely manner
Department/Branch Communications
· Coordinates activities of individual department with other supervisors/managers
· Coordinates with the Sales Department regarding new/upcoming developments and equipment needs
· Assists Parts and Sales Departments with special projects and arranges for technical support
· Records department or branch meetings regarding the Service Department

Pay and Benefits
The pay range for this position is $25.00 - $25.00/hr.
