Description We are looking for a detail-oriented Administrative Assistant to support daily office and receiving activities in Texas. This contract position with potential for a permanent opportunity is ideal for someone who communicates well with management and vendors, stays organized in a fast-moving environment, and handles documentation with accuracy. The role combines administrative support, data entry, and front-office coordination with shipment verification and recordkeeping responsibilities. Success in this position requires professionalism, follow-through, and confidence working with internal teams and external partners.

Responsibilities:

Review incoming deliveries and compare shipment paperwork with purchase orders, packing records, and related receiving documents to confirm accuracy.

Enter received materials and delivery information into inventory and company tracking systems with a high level of precision.

Notify the appropriate teams and vendor contacts when shortages, damaged items, or documentation mismatches are identified.

Keep receiving files, administrative records, and supporting documents organized for reporting, reference, and audit readiness.

Assist with coordinating returns for incorrect or defective materials by following company procedures and communicating with vendors.

Serve as a point of contact for vendors, drivers, management, and internal departments to help resolve delivery and office-related questions.

Provide general administrative support such as data entry, answering inbound calls, and handling front-desk duties as needed.

Use basic Excel and other Microsoft Office tools to update logs, maintain records, and support routine office reporting. Requirements - High school diploma or equivalent is required.

At least 2 years of experience in an administrative, receiving, warehouse, or inventory-related role is preferred.

Working knowledge of purchase orders, packing slips, delivery paperwork, and inventory documentation.

Basic computer proficiency, including Microsoft Office, Excel, and accurate data entry skills.

Strong written and verbal communication skills with the ability to interact professionally with management, vendors, and team members.

Excellent attention to detail, organizational ability, and reliability in handling time-sensitive tasks.

Ability to perform in a deadline-driven environment and manage multiple responsibilities effectively.

Ability to lift up to 30 pounds and occasionally work both indoors and outdoors in changing weather conditions. TalentMatch®
