GENERAL DESCRIPTION:

The Wyoming State Penitentiary is seeking an Office Support Specialist I to assist in our Education Department . This position is responsible for a wide range of general and agency-specific office and administrative tasks. The desired candidate will be self-motivated, detail-oriented, and have a good understanding of a variety of software programs. This position provides support to the Education Manager and department staff and may work with the inmate population. ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed in the job level.
Performs, leads, or supervises a wide variety of moderate to complex program and operational support duties.
Applies knowledge of programmatic and administrative requirements.
Performs specialized tasks and coordinates general office functions such as answering phones, photocopying, record keeping, ordering supplies, gathering and distributing mail, and recording responses in the logbook.
Maintains inmate library inventory and delivers books to segregation housing units.
Administers tests for HiSET to the inmate population.
Supervise the TPC Program, administering tests, delivering manuals, and ordering completion certificates.
Assist the Education Manager and Instructors as needed.
Accurately maintains agency files and records; inputs data into databases.
Responds verbally and/or in writing to requests for information.
Provides customer service to customers, inmates, and staff and acts as a resource and explains rules and procedures to co-workers, customers, and/or inmates.
Responsible for inventory assets.
Performs administrative duties requiring considerable judgment, which may involve fiscal, human resources, or other specific program areas.
Resolves some light computer issues/concerns.
Participates in required training.
Tracks information.
Evaluates information for accuracy.
Other duties as assigned.
Responsible for ensuring a safe and enjoyable workplace, including participation in initiatives designed to promote a positive work environment
Qualifications
PREFERENCES:
Preference may be given to candidates who have 2-4 years of progressive clerical experience and proficiency in Microsoft Office.
KNOWLEDGE:
Knowledge of the organization and management of information and materials services
Knowledge of research, indexing, records management, and databases.
Knowledge of the basic principles of education.
Knowledge of mainframe and personal computer systems.
Knowledge of techniques for providing a high level of customer service.
MINIMUM QUALIFICATIONS:
Education:
Associate's Degree (typically in Business)
Experience:
0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II
OR
Education & Experience Substitution:
2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II

PHYSICAL WORKING CONDITIONS:
Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
Lifting/grasping up to 20 pounds on an occasional to regular basis, without assistance
Walking on cement floors on an occasional to regular basis
Walking up and down stairs on an occasional basis
Stooping, bending, kneeling, and crouching on an occasional basis
Reaching on a regular basis
Typing/Repetitive motion on a frequent basis
Talking/hearing on a frequent basis
Seeing: the visual ability to perform an activity such as analyzing data and figures, viewing a computer terminal, and extensive reading
