Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role ensures the smooth operation of daily office functions, providing exceptional support to staff and visitors alike. The ideal candidate will possess strong office management skills, excellent communication abilities, and a proactive attitude. As an energetic and detail-oriented professional, you will handle a variety of clerical tasks, manage schedules, and maintain an efficient office environment that fosters productivity and positive interactions.

Responsibilities

Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.

Operate multi-line phone systems to answer inquiries, transfer calls, and support customer service efforts.

Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records.

Utilize Microsoft Office Suite and Google Workspace tools for correspondence, reports, and scheduling.

Coordinate calendar management, appointment setting, and meeting arrangements for staff members.

Handle basic bookkeeping tasks using QuickBooks or similar accounting software to support office financial processes.

Support office management duties including supply inventory, mail distribution, and maintaining a tidy workspace.

Provide customer support by addressing inquiries promptly and professionally while maintaining excellent phone etiquette.

Assist with personal assistant responsibilities as needed, including travel arrangements or special project support.

Maintain confidentiality of sensitive information while ensuring all administrative procedures are followed efficiently.

Experience

Proven experience in an administrative or clerical role within an office environment.

Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry systems.

Previous experience handling multi-line phone systems and front desk operations.

Familiarity with office management tasks such as filing systems, calendar management, and basic bookkeeping (QuickBooks preferred).

Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting.

Demonstrated customer service skills with a professional demeanor and strong phone etiquette.

Experience in small office environment roles is a plus but not required; relevant personal assistant experience is also valued.
