Accounts Payable Clerk

Description We are looking for an Accounts Payable Clerk to join an organization in San Diego, California on a contract basis with the potential for a permanent position. This role is well suited for someone who is highly organized, accurate, and comfortable working in a fast-moving environment with strict compliance standards. The position will support invoice processing, vendor coordination, payment activities, and records management while helping maintain strong financial controls across contracts, grants, and funding sources.

Responsibilities:

Process a steady volume of accounts payable invoices each week while maintaining a high level of accuracy and timeliness.

Examine, validate, and assign proper accounting codes to invoices in accordance with agency procedures and funding rules.

Handle both agreement-based and standard invoices, ensuring each item is routed and recorded correctly.

Apply charges to the correct grants and funding sources while following all applicable restrictions and compliance requirements.

Reconcile invoices against purchase orders, contract terms, and supporting backup documentation before payment.

Assist with payment cycle activities by preparing batches, reviewing exceptions, and helping resolve issues that could delay disbursement.

Investigate billing discrepancies, missing paperwork, and coding concerns, then coordinate with internal teams or vendors to reach resolution.

Maintain organized financial records to support audits, reporting obligations, compliance reviews, and document retention needs.

Update and manage vendor information, including new supplier setup and ongoing maintenance of account details.

Provide administrative and spreadsheet support to the finance team, including file management and Excel-based review tasks. Requirements - Previous experience in accounts payable, including invoice review, coding, and payment support.

Working knowledge of matching invoices to purchase orders, contracts, and related documentation.

Ability to work accurately within environments governed by grants, funding limitations, or compliance requirements.

Proficiency with Microsoft Excel and confidence navigating spreadsheets for review and reconciliation tasks.

Strong attention to detail with the ability to identify inconsistencies and follow through on corrective action.

Effective communication skills for responding to vendor questions and collaborating with internal departments.

Ability to manage multiple deadlines and priorities in a fast-paced finance setting.
