Job Title Admissions &Testing Center Administrative Assistant/Proctor - WB - (1.0 FTE)
Job Description
Greet and assist all visitors, provide clerical and secretarial support, in addition to scheduling appointments for prospective and current students needing assistance with admissions and/or testing. Responsibilities include efficient and accurate processing of prospective student information, admissions applications, test scores, data entry and coding for respective student communication processes, and organization and proctoring of all tests administered through the Center. Ethical, compassionate, energetic and positive demeanor is essential in this direct-service role that involves consistent demonstration of well-refined customer service and interpersonal skills.
This is a full-time position with an hourly starting wage of $15.00 per hour. The hourly wage will increase to $16.00 per hour on 07.01.26. Hours for this position are: Monday - Friday 8 am - 4:30 pm. However work hours may vary to accommodate the test center needs. Benefits include single medical insurance, single dental insurance, $8.00 toward vision insurance, $50,000 life insurance, long-term disability, paid sick leave, paid vacation, paid spring and Christmas breaks and participation in IPERS or TIAA retirement plan.
Terms of employment are per bargaining agreement between SCC Board of Trustees and the SCC Education Support Association, employment contract and relevant policies of the Board of Trustees.
The Admissions and Testing Center Administrative Assistant/Proctor will abide by the employment contract and relevant policies and guidelines of the SCC Board of Trustees.
Essential Duties Summary
Learn and embrace the comprehensive community college philosophy and related Iowa Code regulations.
Learn, apply, and role-model all SCC policies and procedures, including but not limited to the strategic goals and expectations of accountability within the Student Services Division.
Perform secretarial, clerical, and receptionist duties as assigned by immediate supervisor, including answering and directing phone calls where appropriate, effectively responding to phone/email/text inquiries with timeliness, greeting all visitors to the department, and maintaining positive and engaging communication with each contact.
Schedule appointments; provide general information and respond to inquiries about services; send email/text reminders/reschedule request.
· Keep up to date on office communications systems and procedures.
Support Admissions processes through data-entry, filing, preparation and distribution of materials and a general understanding of application process.
Create and maintain correspondence with prospective and current students as needed. This includes gaining familiarity/proficiency with all functions of communication management to create codes, letters, and tracks for various enrollment functions along with the assignment/processing of those in regards to student tracking and communication.
Import and/or create, monitor, and maintain student applications as well as files, records, reports, and information materials for admissions.
Understanding and accurate coding of student data to record fields to meet college procedures and match MIS data requirements.
Acquire familiarity and certification with all tests administered by SCC's testing center and assist with test administration, including but not limited to:
· NEXTGen Accuplacer
· NEXTGen Accuplacer ESL
· ALEKS
· CNA
· Make-up tests
· Virtual testing sessions
· Hi-Set official practice test and official certification
· Various other state and national certification/examinations
· Distance learning examinations for other colleges and universities
Assist with management and maintenance of correspondence between faculty (internal and other schools'), other stakeholders ( CNA , State Pesticide Certifications, HS's, etc.) and the testing center to appropriately schedule and secure materials to facilitate testing operations.
Provide coordination and facilitation of group testing events to assist recruitment efforts.
Maintain strict confidentiality, security, and integrity of all student records, tests, and testing procedures.
Assist with the updating and regular maintenance of Admissions and Testing Center documents, manuals, and web pages in collaboration with department colleagues.
Monitor and order office supplies for admissions and testing operations.
Apply ethical standards to work situations; make work decisions in accordance with SCC's values and goals; show respect and sensitivity for cultural differences, and promote a harassment-free environment.
Embrace and support constructive change; work efficiently and effectively to improve college operations.
Develop and maintain effective working relationships with students, colleagues within and outside the Center, and contribute toward building a positive team working environment; treat others with respect as a representative of SCC .

Required Qualifications
Education:
High School diploma/equivalent required.
Experience:
Minimum two (2) years related experience within office administration setting required.
· Excellent interpersonal (reading, writing, speaking, listening) skills are required.
Competency with computer software applications specifically Google Office Suite and Microsoft Office programs with proficiency in Word, Excel, and Outlook; ability to learn and develop competency in SCC's administrative systems (Ellucian and Element 451); and various other software programs as needed.
Technology savvy with critical thinking skills to troubleshoot technical issues.
Ability to:

o Work independently and be a self-starter, including conducting research of best practices relevant to routine responsibilities and assigned tasks.

Preferred Qualifications
Education:
AA or AAS degree in Office Administration preferred.
Experience:
Minimum two years related experience within office administration in an educational setting preferred.
Experience managing records, creating/tracking of reports/projects, scheduling appointments and working with confidential information preferred.
Experience with testing software and systems preferred.
