Description We are looking for an organized Administrative Assistant to support a superintendent and a small support team in Great Neck, New York. This contract-to-permanent position is ideal for someone who enjoys keeping administrative operations on track, managing documentation accurately, and assisting with a variety of office projects. The role offers the opportunity to contribute in a hands-on onsite environment while building toward long-term employment.

Responsibilities:

Provide day-to-day administrative support to the superintendent and three additional team members, helping maintain smooth office operations.

Track compliance-related documents, monitor deadlines, and follow up to ensure required paperwork is completed within established timeframes.

Assist with document organization and digital record maintenance, including combining files and preparing materials for electronic signature through Adobe tools.

Enter and update information in office systems with a high level of accuracy, including light accounts payable-related data entry in QuickBooks.

Prepare correspondence, reports, spreadsheets, and other administrative materials using Microsoft Office applications.

Handle a range of general clerical and administrative assignments as priorities shift throughout the day.

Support special projects and other ad hoc office tasks as needed to meet departmental goals. Requirements - Prior experience in an administrative assistant, clerical, or office support role.

Strong administrative assistance and general office administration skills.

Accurate data entry abilities with careful attention to detail.

Working knowledge of Microsoft Office applications such as Word, Excel, and Outlook.

Familiarity with Adobe tools for document handling and electronic signatures is preferred.

Exposure to QuickBooks for light data entry or accounts payable support is helpful, but accounting experience is not required.

Ability to work onsite Monday through Friday and manage multiple assignments effectively.

Willingness and ability to take and pass a civil service exam as a condition of transitioning to a permanent role. TalentMatch®
