Robert Half is looking for an organized and detail-oriented Administrative Assistant to join a team based in Philadelphia, Pennsylvania. As an Administrative Assistant Your responsibilities will include but aren't not limited to:

Provide administrative support including document preparation, mail distribution, expense reporting, and meeting coordination.

Manage and maintain tenant and vendor databases, ensuring all information is accurate and up to date.

Prepare and process leasing and business development documentation, such as deal sheets, RLAs, advertising agreements, and retailer communications.

Generate and analyze reports using Yardi and other systems to assist property and business development teams.

Support marketing efforts by managing website updates, social media content, and e-blasts, while also tracking and reporting on marketing activities.

Assist with planning and executing events, including scheduling community spaces, coordinating corporate sweepstakes, and organizing employee appreciation activities.

Handle communication with tenants, vendors, and other stakeholders to ensure smooth operations and address inquiries.

Take photographs for marketing purposes and maintain an inventory of promotional materials.

Coordinate on-site programs and events, ensuring all logistics are managed effectively.

Requirements

The Ideal Administrative Assistant will have:

A minimum of 3-5 years of administrative experience, with a high school diploma or equivalent.

Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.

Understanding of Yardi software.

Familiarity with basic marketing tools and techniques.

Strong organizational and time management skills with exceptional attention to detail.

Excellent written and verbal communication skills paired with a customer service-oriented mindset.

Ability to multitask and prioritize tasks in a fast-paced environment.

Problem-solving skills and a proactive approach to handling challenges.
