Job Title: Project AccountantJob Description
The Project Accountant oversees end-to-end project accounting for construction projects, from initial setup through closeout. This role manages budgets, contracts, billings, and cost tracking in both project management and accounting systems, ensuring accuracy, compliance, and timely financial reporting. The Project Accountant partners closely with operations and project teams to support informed decision-making and maintain strong cash flow throughout the life of each project.
Responsibilities
Announce new projects internally and prepare the necessary documentation and spreadsheets for accounting system setup.
Create open project folders and transfer all relevant contents from estimate folders to establish complete project files.
Update Procore to reflect the current course of construction and accurately enter the full project team.
Set up and maintain project budgets in both Procore and ECMS, ensuring alignment between systems.
Establish the prime contract in Procore and upload the fully executed owner contract and related documents.
Verify that contract values align with approved project budgets and resolve any discrepancies.
Order required SLA certificates and ensure all related documentation is complete and current.
For new trades, obtain completed vendor setup forms and W-9s to onboard them into the accounting system.
Set up commitments in Procore, including purchase orders and subcontract commitments, in accordance with project requirements.
Set up subcontracts in ECMS and ensure consistency with Procore and contract documents.
Create pre-lien information sheets and maintain accurate lien-related records for each project.
Set up direct cost budget lines to properly track and allocate expenses.
Execute trade contracts when appropriate and when no markups or revisions are required.
Collect any missing certificates of insurance (COIs) from trades and track compliance.
Roll up approved owner change orders (OCOs) in Procore and post corresponding entries in ECMS.
Update Procore promptly when signed subcontractor change orders (SCOs) are received.
Add and maintain approximately 75 cost codes in the budget throughout the project in both Procore and ECMS.
Process owner billings accurately and on schedule, following project billing terms and formats.
Post trade pay applications and ensure they align with contracts, commitments, and project budgets.
Invoice owners for permit reimbursements and other reimbursable costs as appropriate.
Make collection calls and follow up on past-due owner invoices to support timely cash flow.
Pick up and deposit checks using SinglePoint or similar tools while maintaining accurate deposit records.
Monitor system notifications for all assigned projects and respond promptly to required actions.
Collect required backup documentation for payments to trades and upload or update these records in Procore.
For completed projects, move project folders to the appropriate archive location and close projects in Procore.
Generate certified payroll reports for SLA and trade processing as required.
Order monthly union letters and maintain related documentation for compliance and reporting.
Support accurate job costing, cost coding, and tracking of actual operating expenses versus budget.
Ensure that project accounting activity properly ties back into financial statements, including the profit and loss statement and balance sheet.
Essential Skills
At least 5 years of experience in accounting.
At least 5 years of accounting experience with a general contractor or subcontractor, including debits and credits and contract, subcontract, and commitment accounting.
Solid understanding of debits and credits and fundamental accounting principles.
Ability to connect project accounting activity to financial statements, including profit and loss and balance sheet.
Hands-on experience with project billing, including formats such as guaranteed maximum price (GMP), lump sum, and cost plus.
Experience working in a construction or project-based environment, preferably with a general contractor.
Knowledge of contracts, subcontracts, and commitments in a construction setting.
Strong job costing and cost coding skills, including tracking actual operating expenses versus budget.
Experience with certificates of insurance (COIs) and related compliance tracking.
Familiarity with SLA-related processes and reporting.
Experience with labor rates and associated reporting requirements.
At least 1 year of experience with Procore or a similar project management software.
At least 1 year of experience with at least two of the following billing @types: GMP, cost plus, lump sum.
Proficiency with accounting concepts related to project billing and project accounting in the construction industry.
Additional Skills & Qualifications
Experience with ECMS accounting software is preferred.
Experience with other accounting systems such as Acumatica, Viewpoint Spectrum, Vantage, Sage, NetSuite, or Timberline.
Experience with project management software such as Procore (highly preferred), Autodesk, or Builder Trend.
Background working with a general contractor is highly preferred, though strong subcontractor experience with an understanding of different project billing structures is also valuable.
Experience with EEO reporting and fringe and overhead concepts is beneficial.
Ability to manage multiple projects simultaneously while maintaining high attention to detail.
Strong communication and collaboration skills to work effectively with project teams, trades, and owners.
Comfort with change order management, including owner and subcontractor change orders.
Work Environment
This position is based in a small office environment, working closely with one other project accountant and collaborating regularly with leadership based in another location. The team is experienced and growing, offering opportunities to learn from colleagues and contribute to building scalable processes. Typical hours are flexible, with a common schedule of 7:00 a.m. to 4:30 p.m., and options such as 7:00 a.m. to 3:30 p.m. to accommodate personal needs. The role relies heavily on technology, including Procore, ECMS, and other accounting and project management software, and involves frequent interaction with project managers, trades, and owners to support active construction projects. Pay and Benefits
The pay range for this position is $35.00 - $45.00/hr.
