The Executive Accountant will provide comprehensive personal and professional accounting support to a senior executive while also contributing to corporate accounting activities during downtime. This role manages household, personal, and business financial transactions, ensures accurate reporting and compliance, and acts as an in-house accounting resource in close coordination with external advisors. The position requires a highly trustworthy, detail-oriented, and proactive professional who can handle sensitive information with discretion, manage complex financial matters, and support both day-to-day needs and long-term financial goals.
Responsibilities
Maintain accurate, organized records of personal, professional, and household financial transactions for the executive.
Oversee bill payments for household and business-related expenses, including utilities, service providers, rental property expenses, loan and mortgage obligations, insurance premiums, and other recurring payments to ensure timely settlement.
Reconcile bank accounts and credit card statements regularly for both personal and business interests.
Analyze income and expenditures to develop comprehensive budgets and help set and monitor financial goals.
Prepare, review, and help package financial information and documentation for external CPAs, including support for tax filings.
Support federal, state, and local tax compliance by collecting tax information, identifying eligible deductions and credits, and coordinating with tax professionals to minimize tax liabilities within regulatory requirements.
Prepare and assist with financial statements, including balance sheets, cash flow statements, and related reports, for personal and business activities.
Perform month-end close activities, including journal entries, reconciliations, and reporting.
Monitor and manage cash flow across personal accounts, household expenses, and business-related accounts.
Assist in building and maintaining an investment portfolio in coordination with financial advisors, ensuring alignment with financial objectives and risk tolerance, while not directly managing retirement and investment decisions.
Collaborate with financial advisors, banks, investment firms, accountants, and other professional advisors to ensure optimal asset allocation, tax efficiency, and accurate financial reporting.
Advise on strategies to reduce costs, improve overall financial health, and support long-term financial stability.
Support estate planning and trust administration by coordinating with legal professionals and ensuring financial records align with long-term objectives.
Manage the financial aspects of charitable giving, including organizing tax documentation and supporting strategic planning for philanthropic goals.
Handle the financial management of multiple rental properties, including tracking income and expenses and ensuring bills and invoices (such as rental agents and service providers) are paid accurately and on time.
Operate as an in-house accounting "firm" for the executive, providing end-to-end accounting support for personal and related business interests.
Use accounting software and tools, including Excel, SQL, reporting software, and QuickBooks, to maintain records, generate reports, and support decision-making.
Support corporate accounting functions when personal and executive-related accounting workload allows, contributing to broader organizational finance needs.
Communicate regularly with the executive to understand priorities, upcoming obligations, and open items, and proactively manage the accounting tasks on their behalf.
Maintain strict confidentiality and handle sensitive financial information with the highest level of discretion.
Essential Skills
5-7 years of accounting experience.
Degree or certificate in accounting; CPA preferred.
Advanced knowledge of accounting principles and GAAP.
Strong experience with reconciliations, including bank and credit card reconciliations.
Hands-on experience with accounts payable and managing bill payments.
Ability to prepare complete and accurate financial statements, including balance sheets and cash flow statements.
Experience with month-end close processes, including journal entries and reporting.
Background with a local or regional firm, ideally in public accounting or working with a CPA firm.
Strong proficiency in Microsoft Excel, including pivot tables, lookups, macros, formulas, and professional formatting.
Experience with general ledger accounting and financial reporting.
Demonstrated ability to manage personal accounting, including personal bills, household expenses, and cash flow.
Experience collecting and organizing tax information to support tax return preparation.
Strong critical thinking skills to analyze financial information and identify trends or issues.
Excellent written and verbal communication skills to interact with executives and external advisors.
High level of detail orientation and organizational skills to manage multiple accounts, properties, and obligations.
Ability to prioritize effectively and manage workload in a fast-paced environment.
Demonstrated discretion and trustworthiness in handling confidential and sensitive financial information.
Additional Skills & Qualifications
Advanced skills in SQL and reporting software to support data analysis and financial reporting.
General familiarity with accounting software and programs.
Hands-on experience setting up QuickBooks from scratch and configuring it for new entities or activities.
Background in outsourced client services or similar environments where you support multiple stakeholders or entities.
Experience with financial statement analysis and reporting for both personal and business activities.
Familiarity with preparing and packaging financial information for CPAs and other external advisors.
Ability to collaborate effectively with banks, investment firms, legal professionals, and financial advisors.
Adaptable, hard-working mindset with a proactive approach to identifying needs and resolving issues before they escalate.
Work Environment
This position is primarily onsite, with an expectation of working five days per week at the designated office or location, with potential flexibility in the future once fully established in the role. The Executive Accountant works closely with a senior executive, focusing mainly on personal and related business accounting, and supports corporate accounting when personal workload allows. The environment is fast-paced and dynamic, requiring the ability to shift between personal, household, rental property, and corporate accounting tasks. You will use modern accounting tools and technologies, including Microsoft Excel, accounting software, SQL and reporting tools, and QuickBooks. The pay range for this position is $91000.00 - $100000.00/yr.
