Job Duties and Other Information
Job Duties:
Assist walk-in customers requesting vital records by reviewing applications, verifying identification and legal authority, processing payments, and ensuring compliance with Vital Statistics laws and confidentiality requirements.
Provide accurate information to the public regarding services, fees, and record access, while routing requests and correspondence to the appropriate units and returning incomplete submissions with explanations.
Maintain and track certified and express mail, update records in the LEERS system, reconcile bank note usage, and manage document storage and destruction in accordance with retention schedules.
Deliver high-volume call center support by answering inquiries, researching request statuses in LEERS, routing calls appropriately, and documenting messages and requests for follow-up.
Create and process cases for mail orders, prepare and send informational packets, assist with the issuance of complimentary birth certificates, and train staff on customer service standards and telephone etiquette.
Process and review vital event registrations (birth, death, marriage, divorce, and paternity acknowledgments) for accuracy and completeness, resolving discrepancies with external partners and maintaining organized records.
Issue, accept, and record marriage licenses; provide guidance to officials and the public; ensure proper handling of funds; and support overall operations through reporting, training participation, and special projects.
