The Accounting Coordinator provides essential accounting and administrative support, with a strong focus on billing, invoicing, and project accounting within the architecture, engineering, and construction (A/E/C) industry. This role manages project setup, supports project financial performance, oversees accounts payable and accounts receivable processes, and ensures accurate and timely monthly billing. In addition, the Accounting Coordinator helps maintain smooth daily office operations by coordinating office activities, supporting team members, and serving as a key point of contact for visitors and vendors.
Responsibilities
Assign new project numbers using company templates and established standards to ensure consistent project setup.
Enter project budget information into the accounting system accurately and in a timely manner.
Assist Project Managers with monitoring and improving project financial performance, including tracking budgets and costs.
Obtain signed consultant contracts and maintain an up-to-date Certificate of Insurance (COI) log.
Review consultant invoices with Project Managers for accuracy, contract compliance, and proper coding.
Verify consultant billing against contract values to ensure alignment with agreed terms.
Participate as a collaborative member of the accounting team, contributing to process improvements and shared goals.
Manage the monthly billing process, including preparation, review, and submission of client invoices.
Review accounts receivable with Project Managers and assist with collection efforts to support healthy cash flow.
Process accounts payable, including vendor setup and invoice data entry, ensuring accuracy and completeness.
Provide miscellaneous accounting assistance to the Accounting Manager as needed.
Oversee daily office operations and maintain general office upkeep, organization, and readiness.
Monitor and order office supplies to maintain adequate inventory and support uninterrupted operations.
Coordinate vendor lunch presentations, including scheduling, communication, and catering arrangements.
Assist with planning and executing company events for the Dallas office.
Schedule and coordinate internal and external meetings, including conference room reservations and setup.
Serve as the primary point of contact for visitors, deliveries, and general office inquiries, ensuring a professional and welcoming experience.
Provide miscellaneous administrative assistance to team members and Project Managers as needed.
Essential Skills
Minimum 3-5 years of relevant accounting experience with a strong focus on billing and invoicing.
Experience in the architecture, engineering, and construction (A/E/C) industry is required.
Hands-on experience with project accounting and construction-related accounting processes.
Proficiency in accounts payable and accounts receivable functions, including vendor setup and invoice data entry.
Strong data entry skills with high attention to accuracy and detail.
Ability to review contracts and invoices for accuracy and compliance with agreed terms.
Capability to support project financial performance in collaboration with Project Managers.
Effective communication skills to coordinate with internal teams, consultants, vendors, and visitors.
Strong organizational skills to manage multiple tasks, deadlines, and office operations simultaneously.
Additional Skills & Qualifications
Experience managing monthly billing cycles, including preparation and submission of invoices.
Familiarity with maintaining logs and records such as Certificates of Insurance (COIs) and consultant contracts.
Ability to plan and coordinate meetings, events, and vendor presentations.
Comfort working both independently and as part of a collaborative accounting and office team.
Strong customer-service orientation when interacting with visitors, vendors, and internal stakeholders.

The role involves regular use of accounting and office software, handling paper and electronic records, and coordinating with project teams, consultants, and vendors. This is a Contract to Hire position based out of Addison, TX.
Pay and Benefits
The pay range for this position is $31.25 - $34.62/hr.
