Warehouse Administrator
Job Description
The Warehouse Administrator supports safety and compliance programs while providing essential administrative and logistical support in a warehouse environment. This role focuses on maintaining accurate records, assisting with regulatory compliance activities, and ensuring smooth day-to-day operations through effective communication, data entry, and warehouse-related tasks.
Responsibilities
Support the administration of drug and alcohol testing programs by maintaining accurate records and documentation.
Track driver license status and medical certifications to ensure all required qualifications remain current.
Help prepare documentation for internal and external audits, ensuring completeness and accuracy of compliance records.
Monitor Hours of Service (HOS) logs for compliance and follow up on any discrepancies or issues.
Assist with vehicle maintenance and inspection recordkeeping, keeping files and databases up to date.
Review and track violations, inspections, and CSA scores, and update records as needed.
Update compliance databases and maintain accurate reporting records to support safety and regulatory requirements.
Communicate compliance requirements clearly to drivers and internal staff and respond to related inquiries.
Provide general administrative support related to safety and compliance programs, including filing, scanning, and organizing documents.
Perform record keeping for the warehouse, including inventory documentation and movement tracking.
Complete data entry tasks accurately and efficiently to support logistics and administrative functions.
Deliver customer service to internal and external stakeholders by responding to questions and providing requested information.
Support logistics activities by coordinating information flow between the warehouse and administrative teams.
Fold laundry and linen, including sheets, and prepare linen for use or distribution as needed.
Maintain organized work areas for linen and warehouse materials to support efficient operations.
Essential Skills
Proficiency with Excel and general computer applications for data entry and record management.
Strong record-keeping abilities, particularly in a warehouse or logistics environment.
Experience with data entry, ensuring accuracy and attention to detail.
Customer service skills to interact professionally with drivers, internal staff, and other stakeholders.
Administrative assistance experience, including document preparation, filing, and communication.
Basic understanding of logistics processes and documentation.
Ability to fold and prepare laundry and linen, including sheets, in an organized and efficient manner.
Ability to lift up to 50 pounds safely.
Ability to stand on feet for long periods of time during the shift.
Willingness to work weekends and holidays when scheduled.
Ability to push and pull linen carts weighing 50 pounds or more.
Additional Skills & Qualifications
Comfort working with compliance-related data such as licenses, certifications, and inspection records.
Ability to review and track violations, inspections, and performance scores with accuracy.
Strong organizational skills to manage multiple records, documents, and tasks simultaneously.

Work Environment
This role is based in a combined warehouse and administrative area, involving both desk-based computer work and physical activity on the warehouse floor. You will regularly use computers and Excel for data entry and recordkeeping, while also handling linen, moving carts, and managing physical files. The position requires standing for extended periods and lifting or pushing items up to 50 pounds. Work schedules may include weekends and holidays when assigned, reflecting the operational needs of the facility. The environment is fast-paced and task-focused, with close collaboration between warehouse, logistics, and administrative staff.

This is a Contract to Hire position based out of Pensacola, FL.
Pay and Benefits
The pay range for this position is $17.00 - $17.00/hr.
