This position carries on-site responsibilities which requires working in the office with possible hybrid work.
The purpose of this position is to provide a combination of office/administrative and operational support for program areas within Economic Assistance & Employment Supports Division (EAESD) with a focus and great emphasis on providing specialized support to the Supplemental Nutrition Assistance Program (SNAP) Quality Control (QC) Team. The incumbent operates within the office and administrative team and assumes responsibility for various administrative functions, and policy and procedures of the office by exercising good judgement and maintaining the normal workflow so the division goals are met. Other duties are varied and may change depending on division priorities.
Responsibilities include:
Provide specialized operational support to the SNAP QC team
Independently perform administrative and office support duties for EAESD staff
Maintain an office system to help prioritize work and meet the administrative needs of the division
Complete division Electronic Inter Office Requisition(s) (EIORs)
Assist in the scanning, filing, storage, retention, and disposition of EAESD records utilizing the agency record retention management policy and procedures.
Maintain a filing system for division records in accordance with agency/division record retention schedules
Other duties as assigned
Minimum Qualifications

Customer services skills sufficient to maintain effective working relationships within an organization with multiple programs and the public as well as persons of diverse backgrounds.
Database management skills sufficient to use technology and business software such as Microsoft Office Suite, SharePoint, multi-line phones and video conferencing such Microsoft Teams, Zoom and Webex.
Administrative skills sufficient to scan and edit documents using Adobe Acrobat or similar software
Administrative and office skills sufficient to schedule meetings, manage emails and edit documents.
Data entry skills sufficient to create database records and update entries on databases and retrieve/locate information.
English language skills sufficient to read, write, and communicate clearly.
Leadwork skills sufficient to develop administrative processes and respond independently to a wide range of technical questions.
Typing/keyboarding skills sufficient to complete a variety of reports, letters, forms, and data summaries
Preferred Qualifications
Experience supporting hiring processes, including coordinating interviews, managing scheduling, communicating with candidates, and hiring team
Experience using Customer Relationship Management (CRM) systems
Experience providing administrative support as an administrative assistant supporting multiple managers
Knowledge of state government and policie s, particularly with the SNAP program.
Variety of experiences working effectively with others from different backgrounds and cultures.
