POSITION OVERVIEW: The Accounting Technician supports the Central Services Division by performing a variety of accounts payable and receivable duties that ensure the agency's financial transactions are accurate, timely, and compliant with federal and state requirements. Working closely with other accounting team members, this position audits and processes payments, maintains vendor records, reconciles accounts, and provides responsive customer service to agency staff and vendors. The role contributes directly to the Department's mission by safeguarding public resources and maintaining confidence in the Department's fiscal integrity. ESSENTIAL FUNCTIONS: Process accounts receivable and payable:Receive, record, and process payments, deposits, and invoices in accordance with established procedures and fiscal policies. Review and audit transactions:Examine invoices, vouchers, and supporting documents for accuracy, fiscal year assignment, funding source, and compliance with state and federal guidelines. Maintain vendor information:Set up, update, and correct vendor accounts following IRS and State of Montana regulations related to 1099 eligibility and reporting. Reconcile and balance accounts:Prepare and balance bank deposits, verify financial reports, and identify and resolve discrepancies. Administer travel reimbursements:Review employee travel expense reports and advance requests for accuracy and policy compliance. Ensure compliance and documentation:Maintain organized records and ensure all documentation aligns with state and departmental accounting standards. Provide customer support:Respond to employee and vendor inquiries promptly, offering guidance on payments, procedures, and financial processes. REQUIRED SKILLS AND COMPETENCIES: Candidates must demonstrate the ability to: Financial accuracy and attention to detail:Conduct thorough reviews of financial transactions while maintaining high standards of precision and compliance. Process management and organization:Manage multiple accounting tasks with consistency, setting priorities to meet deadlines and workflow demands. Technology proficiency:Use Microsoft Word, Excel, and accounting or bookkeeping software effectively to manage data and reports. Communication and teamwork:Collaborate and communicate clearly with internal staff, vendors, and external partners to resolve issues and improve processes. Regulatory and policy understanding:Interpret and apply accounting procedures, rules, and policies to maintain consistent compliance and high ethical standards. MINIMUM QUALIFICATIONS (Education and Experience) Experience performing accounting, bookkeeping, or related administrative duties where accuracy and compliance are critical outcomes. Ability to interpret and apply fiscal rules, policies, and audit standards in daily work. Proficiency in Microsoft Office Suite and ability to learn agency-specific financial systems. Strong analytical and communication skills with the ability to explain accounting decisions clearly and professionally. Commitment to confidentiality, accountability, and continuous improvement in public service. A degree in accounting, business, or a related field may supplement relevant professional experience but is not a substitute for demonstrated skills and competencies in the areas noted above. Equivalent combinations of education and directly related experience will be considered.
